    Hours: Mondays - Fridays from 7:40 am – 4:15 pm, with some out of school time responsibilities

    Compensation: The salary range for this role is $50,000-$65,239. (We believe in compensating staff members fairly in relation to each other. We take into consideration qualifications, credentials, years of experience, and one's impact on behalf of the organization - internal and external equity is taken seriously.     Who We Are

    East Harlem Scholars Academies are community-based Pre-K to 12 public charter schools operated by East Harlem Tutorial Program (EHTP). EHTP began in 1958 as a children's reading group and has since grown into a multi-site after-school program for traditional public school students and a network of public charter schools focused on significantly increasing the college graduation rate in East Harlem. We are on track to serve at least 25% of East Harlem students by 2025, with enrollment for this year at approximately 2200 students in our schools and after school programs.

    About the opportunity

    We are looking for an Operations Associate to be responsible for smoothly running our reception desk and supporting our Director of Operations with facilities, technology, and compliance needs. As a member of Scholars Academies, you will work with the operations team to ensure that the main office is a warm, welcoming, and informative place for staff, families, and visitors. The Operations Associate will play a vital role in ensuring that the school’s non-instructional operations run smoothly and efficiently, and support all office functions by providing prompt, courteous, and thorough service to callers, visitors, and staff. A successful Operations Associate will troubleshoot technology issues (photocopiers, desk phones, postage machine), efficiently manage supply ordering and inventory systems for our school office and staff, and serve as a resource for all school staff.

    Areas of Leadership

    Main Office Communications

    • Greet and check-in each visitor to the main office
    • Maintain a welcoming and tidy environment in the main office
    • Answer all phone calls and ensure that accurate messages are taken for other staff members, if necessary
    • Assist in updating the school’s voicemail as necessary

    Family Communications

    • Make copies of and deliver to teachers all flyers, calendars, memos, and other documents that will be sent home
    • Assist in translating these documents to Spanish, as necessary

    Attendance

    • Compile the daily attendance report
    • Distribute the daily attendance report to the leadership team
    • Call families of students who are not in school
    • Log attendance following all family events

    Student Records

    • Update the ATS continuously including (but not limited to) demographic information, interim and state test results, attendance, lunch codes, transportation, behavior incidents, special education services, and title 1 service
    • Ensure that PowerSchool is kept up to date with student demographic, attendance, and schedule information

    Student Enrollment

    • Lead student recruitment efforts
    • Ensure that all new families complete enrollment paperwork and submit supporting documents prior to their first day of school
    • Contact families form the wait-lists as seats become available
    • Maintain accurate and up to date student rosters
    • Process yellow bus and Metrocard requests for families

    Student Support

    • Provide students with simple medical care (ice packs, temperature readings, etc.)
    • Perform recess, lunch, bus, arrival, etc. duty as assigned

    Aesthetics and Main Office Support

    • Oversee the tidiness of the Main Office, Conference Room, and Staff Collaboration Room
    • Ensure that communications displayed are up to date and accurate
    • Receive and distribute all mail
