    WHO WE ARE

    At New Disabled South (NDS), we are building a coalition across the South that centers the needs and daily experiences of disabled people. Our mission is to improve the lives of disabled people and build strong disability justice and rights movements in the South. We do this by:

    • Organizing our communities around the most critical issues we face
    • Tracking legislation and policy that directly affects disabled people and educating our communities on its impacts
    • Advancing legislative priorities that center our wellbeing and liberation
    • Leading research on key issues
    • Changing media and social narratives about disabled people
    • Building community and power outside of the systems that govern and oppress

    Through this work, we impact the allocation of resources in our states, increase our collective power, and make this country a better place for us to live. We do this all with the lives and experiences of disabled people at the center (nothing about us without us).

    Per our 2023-2025 Strategic Plan, we are centering 4 strategic priorities to advance our mission: Poverty & Care, Criminalization, Democracy, and Technology.

    WHO WE’RE LOOKING FOR

    We are seeking a dedicated HR & Operations Assistant who thrives in a fully remote environment and can support the seamless functioning of our daily operations. Reporting to the Director of HR & Operations, this individual will provide essential remote administrative and operational support to both our C3 and C4, assisting the Operations team on a range of critical functions and supporting on a range of scheduling, finance, systems, and other needs.

    The ideal candidate is extremely proactive, organized, and skilled in various administrative and HR functions, including supporting organizational leaders on scheduling, handling various administrative tasks with little guidance or oversight, candidate stewardship, new employee onboarding, and maintaining digital HR records. They will also support internal communications, remote event coordination, and assist in administering company policies and procedures. This individual should have experience or a willingness to learn about remote operations support, including vendor management, digital tools administration, and compliance with organizational policies across a C3 and C4.

    This role is a fit for someone who is an expert multitasker with an extreme detail-orientation. They are able to anticipate needs, proactively identify potential bottlenecks and process gaps, and roll up their sleeves to step in on a range of support needs across all projects and teams in the organization. This person must be flexible, able to adapt to support needs and requests in a rapidly changing environment with shifting priorities. Innovation, curiosity, experimentation, and commitment to constant learning on the work we do both internally and externally are critical for success.

    THE WORK

    The HR & Operations Assistant will focus on these core areas:

    Remote Operations and Administrative Support: 50%

    • Handle day-to-day operations tasks such as coordinating with vendors, liaising with our Finance department, and interfacing with staff while managing digital office tools.
    • Support planning and preparation for meetings, remote training sessions, team-building activities, travel, and more.
    • Proactively monitor and keep internal tools up to date, including staff directory, Asana, Gsuite, Zoom, and more.
    • Ensure proper documentation and digital filing of operational procedures, policies, and compliance-related records. Lead cleanup and own maintenance of our Drive and Google tools; maintain an intuitive working flow to all Drive folders and files and regularly update staff on changes.
    • Support our HR & Operations Director, Managing Director/Executive Director of our C4, and other organizational leaders on individual support needs, including scheduling, emails, receipts submission, booking travel, and more.
    • Proficiency in digital accessibility basics strongly preferred
    • Other duties as assigned

    HR Support and Coordination: 35%

    • Assist with the full employee lifecycle, including applicant management, candidate stewardship and preparation, onboarding, offboarding, and various employee engagement initiatives.
    • Maintain and update digital employee records, ensuring all files and databases are accurate, secure, and in compliance.
    • Support the administration and tracking of employee benefits, leave, and payroll in our PEO.
    • Work in partnership with the HR & Operations Director to coordinate regular internal communications and HR updates to staff, ensuring accessibility and alignment with organizational policies and best practices.
    • Provide general administrative support for HR projects, including compliance, employee relations, and performance management.
    • Knowledge of data handling or analytics to help inform HR strategies and track operational effectiveness, budgets, compliance is a bonus.

    Cross-Departmental Collaboration and Project Support: 15%

    • Collaborate with the leadership team to support organizational goals and initiatives, providing insights on potential operational improvements.
    • Help coordinate cross-functional remote projects and tasks, ensuring alignment with departmental needs and organizational goals.
    • Serve as an internal point of contact for staff general inquiries and operational support.
    • Assist on new initiatives and priorities, including expanding and implementing our cyber and data security protocols

    WE NEED YOU TO HAVE:

    • 2+ years of experience in an administrative, HR, or operations support role, ideally within a remote environment.Experience working within a startup or fast-growing organization is a plus.
    • Strong organizational skills and attention to detail, with the ability to manage multiple tasks efficiently and context switch effectively
    • Excellent written and verbal communication skills, with the ability to convey information clearly and accessibly within a virtual team
    • Proficiency in remote collaboration tools such as Google Suite, Slack, Asana or other project management software
    • A positive and collaborative approach, with the ability to work effectively across multiple teams and timezones
    • Personal commitment to continuous learning and development: Remains up to date on best practices and approaches to the work; a student of the movement, actively seeking out ways to level up your skills and knowledge base around HR and Operations with the goal of applying them in new and innovative ways for maximum impact
    • Ability to efficiently manage your own and your team members’ capacity within the context of a 32-hour workweek, 4-hour per day meeting maximum, mandatory 1 week PTO, and in alignment with Disability Justice principles

    • 2 months paid sabbatical after 4 years of service to NDS
    • Over 3 weeks in organization-wide office closures, including a two-week winter break and 1 week summer break
