    The Senior Accountant (full-time, non-exempt) ensures the museum’s financial records are accurate and up to date using non-profit, accrual-based accounting practices. This role manages daily transactions, balances accounts, oversees payroll, and handles accounts payable and receivable, with a high level of attention to detail. Producing accurate interim financial statements and balance sheets, the Senior Accountant plays a key role in maintaining financial controls and collaborates with all departments to uphold best practices. Effective communication skills are essential for interactions ranging from entry-level staff to the President & CEO. Reporting to the Director of Finance, the Senior Accountant also supports key projects and demonstrates flexibility with both on-site and remote work arrangements.

    Responsibilities and Duties

    Financial Administration (65%)

    • Reconcile and track daily earned and contributed income from multiple sources.
    • Balance point-of-sale and CRM systems to QuickBooks monthly and annually.
    • Maintain accurate aging, accruals, and vendor payables, including reconciling company credit cards.
    • Monitor receivables, pledges, and payments. Create and send invoices.
    • Conduct banking deposits and transactions.
    • Maintain records of financial transactions with established chart of accounts, posting transactions and assuring legal and audit requirements and compliance.
    • Reconcile bank accounts monthly and create general ledger journal entries.
    • Prepare interim organizational financial statements and balance sheets in an accurate and timely manner. Clearly communicate monthly activities to director-level staff.
    • Maintain accounting software integrity and electronic document retention.
    • Support financial requirements for museum events.
    • File local and state required B&O, Excise, and Sales Tax returns.
    • In collaboration with the Director of Finance, implement with continuous improvement, necessary business policies and accounting practices.
    • In collaboration with the Director of Finance, maintain and update accounting policies and procedures documents.

    Payroll and 401K (25%)

    • Submit and review bi-weekly payroll in web-based application and with general ledger entries in accounting software, in collaboration with HR and department heads.
    • Prepare 401K contributions from payroll, submitting to the organization’s fund management company and oversee employee matching.
    • Ensure payroll tax compliance and accurate reporting.

    Other Duties (10%)

    • Perform other minor related duties as requested or assigned.
    • Adapt to evolving duties and responsibilities as the organization innovates and responds to changing operational needs.

    Experience and Qualifications

    Required:

    • Associates Degree in Accounting, Finance, or Business.
    • Proficiency in Microsoft Office, QuickBooks, and experience with financial reporting software or ERP systems.
    • Strong written, verbal, communication skills, and attention to detail.
    • Ability to manage and guide employees to ensure financial processes are followed.
    • Ability to perform and meet deadlines in a diverse, fast-paced, collaborative environment.

    Preferred:

    • Bachelor’s degree in Accounting
    • Minimum 3 years of experience in non-profit accounting.
    • Experience with ACME & Humanitru products.
    • CPA or relevant accounting certification.
    • Passion for early childhood development.

    • conduct a criminal background check on all prospective employees
