    City Harvest is seeking a highly organized and motivated Assistant to join our Business Partnerships team, a dynamic group responsible for raising over $10 million annually from corporate partners. As a core member, the Assistant will play a vital role in supporting the team’s growth by managing key administrative functions and aiding in fundraising activities.

    Reporting to the Director of Business Partnerships, the ideal candidate will bring excellent communication skills, meticulous attention to detail, and a proactive approach. This role offers a unique opportunity for someone passionate about nonprofit work and making a tangible impact in the fight against hunger in New York City. The Assistant is required to work at least three days in person at our Sunset Park office, with flexibility for remote work on the remaining days.

    Responsibilities:

    • Oversee the Raiser’s Edge database for the Business Partnerships team, ensuring all donor data is current and accurate. Collaborate with the External Relations Operations Team to prepare and pull reports and lists as needed.
    • Provide administrative support to the Director of Business Partnerships, including data entry, scheduling meetings, and setting up meetings—particularly when hosting external guests at City Harvest offices.
    • Assist with frontline fundraising duties including handling inbound calls and emails and monitoring the Partnerships Inbox.
    • Process Business Partnerships income-related gifts, including invoicing, coding, tracking, and reconciling corporate matching gifts and workplace giving. Complete end-of-month gift adjustments to support finance variance.
    • Support the execution of several donor cultivation events and special projects as assigned throughout the year, including the Share Lunch Fight Hunger, Repack to Give Back, and any other special events and projects as needed.
    • Lead the weekly Business Partnerships team meetings, and other meetings as required.
    • Manage reimbursement and contract review processes for the department.
    • Oversee recognition processes for Business Partnerships donors, including updates to the Partnerships Page, Shop for City Harvest page, and the Annual Report.
    • Lead large mailings and correspondence for existing and prospective donors, including the mid-year and Corporate Year-End appeal. Maintain a shared archive of materials for partners.
    • Establish and maintain expert knowledge of City Harvest programs and be able to effectively communicate our work.

    Key Requirements:

    • Bachelor’s degree.
    • Administrative assistant experience in an office is required; an understanding of fundraising or sales experience is preferred.
    • Proven ability to manage multiple projects with competing deadlines in a professional environment.
    • Proactive with a strong willingness to learn and innovate.
    • Skilled in building relationships with individuals at all levels, both internally and externally.
    • Excellent project management, oral, and written communication skills.
    • Impeccable attention to detail and exceptional organizational skills.
    • Comfortable working with numbers.
    • Strategic and creative thinker focused on improving processes.
    • Highly responsive, accurate, and thorough in follow-through.
    • Commitment to the nonprofit sector with a desire to understand program impacts on communities.
    • Proficient in Microsoft Office; experience with Raiser’s Edge or other databases is preferred.
    • Results-oriented, creative, and determined in completing tasks.
