    THE POSITION

    Community Partners seeks a full time, hourly (non-exempt) Senior Administrative Assistant. Reporting to a Vice President, this position provides high-level administrative support for the planning and execution of the Fiscal Sponsorship program as well peer learning convenings, workshops, trainings, and other events. And general administrative support of the capacity building team.

    Community Partners staff are working remotely but are required to be in-office one day a week (which may increase in the future) and position is located in Los Angeles County. This role will be required to travel locally (across LA County), occasional evening and/or weekend work and provide on-site event support.

    RESPONSIBILITIES

    • Act as the main contact person for the Fiscal Sponsorship team and respond to general inquiries; assist in the intake and review of new proposals.
    • Organize and schedule meetings and appointments for Vice President, Fiscal Sponsorship and internal colleagues.
    • Respond to project partner requests in support of grant proposal completion and/or inquiries in support of their work.
    • Maintain a Salesforce database that tracks project contact information, project requests and generates reports
    • Comfortably utilize Zoom and other digital platforms to host recurring webinars, virtual convenings and team meetings.
    • Coordinate and prepare for peer learning convenings, workshops, trainings, and other events; research venues and manage the event specs including logistics and setup, catering, A/V, and materials.
    • Coordinate event registration and logistics, including ordering and picking up supplies and preparing, printing, and collating materials such as badges, signage, handouts, evaluations, agendas, etc.
    • Process and submit invoices and payment requests; file corresponding paperwork and update tracking documents.
    • Travel to meetings, conferences, and other work-related events and be on-call during those events to ensure that logistics run smoothly, and participants’ needs are met.
    • Compile and format content for projects including grant reports, timelines, and other documents.
    • Track project timelines and remind internal and external colleagues about deadlines.
    • Input, compile, and analyze registration and evaluation data, including manually adjusting and formatting data sets.
    • Support communication efforts with partners such as weekly email updates, bi-monthly newsletters or other announcements.
    • Contribute to team efforts by accomplishing other duties as needed.

    QUALIFICATIONS

    • Bachelor’s degree (or equivalent experience) with 2-4 years of relevant work experience is required.
    • Must have excellent organizational skills, be highly attentive to detail, and have the ability to manage multiple projects simultaneously in a busy, fast-paced, and evolving team environment.
    • A passion and proven track record for detail-oriented work is required.
    • Demonstrate exceptional interpersonal skills and a professional demeanor in communicating with staff members at all levels throughout the organization, and with vendors and other external stakeholders.
    • Able to understand an issue and take the initiative to develop and implement solutions.
    • Experience in planning, and executing high-quality events.
    • Proficiency in MS Office is required.

    PHYSICAL

    The employee is regularly required to sit for extended periods of time, frequently required to walk and stand. The employee must use their hands to operate office equipment and reach with hands and arms. Employee may occasionally climb, stoop, kneel or bend. Employee may occasionally lift and/or move up to 20 pounds. Reasonable accommodations may be made to enable individuals with special needs to perform essential job duties.

    COMPENSATION

    Salary $65,000 - $72,000 D.O.E

    Benefits include 15 paid holidays and 10 vacation days per year during first two years of employment and increases based on years of service thereafter, a 403(b) plan with employer match, medical, dental, vision, flex spending, and a range of professional development opportunities. Community Partners has a 9/80 work week option under which employees may elect to work 80 hours in 9 days and take every other Friday off (after completion of introductory period).
