    Director of Operations

    Experience Camps, founded in 2009, is a national, no-cost program for grieving children who have experienced the death of a parent, sibling or primary caregiver. Our one-week, overnight summer grief camps, year-round programs, and content help to reframe the experience of grief, and empower kids with the necessary coping skills to move forward with their lives. Through compassion, connection, and play, Experience Camps allows grieving children to embody a life full of hope and possibility.

    THE OPPORTUNITY

    Reporting to the Chief Strategy Officer, the Director of Operations manages the day-to-day operating functions of the organization, including financials, human resources, compliance, board relations, professional development, and internal communications. This is a key position on the leadership team of a rapidly expanding organization with opportunities to make a significant impact. The Director of Operations will oversee a team of three staff with expertise in finance, human resources, and accounting, and will work across departments to ensure that everyone has the tools and resources to be successful in their roles.

    RESPONSIBILITIES

    The following is not intended to be an exhaustive list. Other responsibilities and duties may be assigned:

    FINANCE

    • Responsible for our overall financial strategy, budget planning and analysis, internal and external reporting, investment oversight, and annual audit.
    • Oversee cash flow, cash management, and processes for tracking financial information including revenue details, pledges, and designated grants.
    • Review and approve expenses for senior management and ensure compliance with expense policies.

    HUMAN RESOURCES

    • Develop and execute strategies for the employee lifecycle, including workforce planning, recruitment, onboarding, engagement and retention, learning and development, and performance management.
    • Oversee HR policy and practices including benefits enrollment, payroll, policy development, etc.
    • Direct personnel to plan team events and retreats and to build a culture of employee appreciation and engagement.
    • Direct personnel who implement state compliance, technology systems, vendor management, and internal risk policies.

    IT AND INFRASTRUCTURE

    • Serve as the primary liaison between the Board of Directors and the organization.
    • Identify cross-functional solutions where possible to streamline communications and processes.
    • Oversee physical infrastructure needs, including the office space and equipment for remote employees.
    • Serve as meeting scribe for Full-team and Leadership Team meetings

    BOARD MANAGEMENT

    • Serve as the primary liaison between the Board of Directors and the organization.
    • Manage the Board member lifecycle from recruitment, onboarding, engagement plans, to alumni.
    • Lead the development of Board and Committee meeting agendas, committee reports, pre-read materials, presentations, logistics, action plans, and record keeping.
    • In partnership with Committee Chairs, ensure committee goals and project plans are on track and support as needed.

    EXPECTATIONS, COMPENSATION, AND BENEFITS

    • 40 hours/week with flexible hours to account for occasional calls and meetings in the evenings.
    • Hybrid work is an option, with 2-3 days/week in the Westport, CT office
    • Occasional travel during the year for events and meetings (approx. 6-8), primarily to NYC
    • Availability for on-site travel during the weeks of camp programs
    • Willingness to be a team player and transition seamlessly between areas of program, HR, and operations.
    • Annual base salary range: $90,000 - $95,000, commensurate with experience.

    QUALIFICATIONS

    • Bachelor’s degree and 8+ years of experience in an operations position.
    • Experience managing finances, cash flow, spreadsheets, budgeting, and Quickbooks.
    • An operational leader, with exceptional ability to analyze, prioritize, plan, communicate, and execute in a rapidly evolving organization.
    • Desire to develop skills as a leader in organizational strategies, processes, systems, and culture to create an inclusive team culture.
    • Strong Communication skills - clear verbal and written communicator. Summarizes information succinctly. Strong attention to detail.
    • Strong project management and change management skills - Is able to drive change and behavior through authentic leadership.
    • Is metrics-oriented. Excellent analytical, strategic thinking, and problem-solving skills.
    • Able to think quickly, take on challenges, and end-to-end problem-solving.
    • Adept at technology utilization in defining process solutions.
