    Organizational Information:

    The Homeless Advocacy Project (HAP) exists to meet the legal and advocacy needs of individuals and families experiencing homelessness in Philadelphia. With a staff of 16 and a corps of 350 volunteer lawyers, paralegals, and law students, HAP engages in direct outreach to individuals experiencing homelessness in need of legal services.

    ABOUT US: Established in 1990, the Homeless Advocacy Project (HAP) is the only legal services organization dedicated to providing direct civil legal services to individuals and families experiencing homelessness in Philadelphia. HAP also advocatesfor the needs of the City’s homeless population.

    VISION: All Philadelphians at risk of or experiencing homelessness have equal access to justice and the means to secure safe and stable housing.

    MISSION: To providefree civil legal services and advocacy to reduce the frequency and duration of homelessness in the greater Philadelphia area.

    Job Functions, Essential Duties, and Responsibilities:

    Assist Director of Operations:

    Plan, coordinate, and assist the Director of Operations with administrative tasks, including, but not limited to:

      • Greet clients and visitors
      • Answer phones
      • Use case management data system to conduct intakes, process client cases, distribute faxes and distribute medical records
      • PA birth certificates (i.e., follow up with clients, process new applications, work with shelter case managers, send application packets to vital records)
      • Assist with handling incoming and outgoing mail
      • Manage office supplies inventory
      • Serve as the secondary point of contact for building management and maintenance services
      • Assist in accounts receivable functions

    Assist Director of Development and Communications:

    Data Entry, Mailings, and Research

      • Copy checks and input donor/gift information, researching donors as needed
      • Update DonorPerfect using information from volunteers, mail house, returned mail, and Mailchimp
      • File gift information and compile Donor Honor Rolls
      • Oversee logistics of mailings for printed pieces
      • Coordinates the acknowledgment process from beginning to end

    HAP Events

      • Primary support to leadership, including Ex. Dir. and Dir. of Development and Communications, as well as Board Committees, for HAP’s Annual Benefit
      • Help organize third-party events; taking a leadership role on smaller events
      • Scheduling of pertinent committee meetings, as well as taking notes and disseminating them

    Social Media

      • Oversee creation and execution of a social media calendar, playing a leadership role in #GivingTuesday
      • Other duties as assigned

    Required Skills/Abilities:

      • Strong verbal and written communication skills
      • Excellent interpersonal and customer service skills
      • Close attention to detail, organized, and able to manage multiple, simultaneous projects and deadlines
      • Excellent time management skills with the proven ability to meet deadlines
      • Superior understanding of office methods, procedures, and equipment
      • Ability to learn, interpret, and apply policies and procedures
      • Proficient with Microsoft Office Suite or related software
      • Passion for access to justice for underserved communities
      • Understanding and sensitivity to issues of people experiencing homelessness, living with mental illness, and in recovery from addiction
      • Spanish fluency is preferred but not required
      • Event planning a plus

    Education and Experience:

      • Graduate of an accredited four-year college or university preferred.
      • Minimum or two years of experience in customer service, clerical work and/or development required.

    Physical Requirements:

      • Prolonged periods sitting at a desk and working on a computer.
      • Must be able to lift up to 15 pounds at times.
