    Position Description

    When you think about elections, you might think about popular candidates, “I voted” stickers, and all sorts of paperwork and deadlines. Behind the scenes are thousands of people in state and local government working hard to make sure accurate election information is published, ballots are counted, and voices are heard. As we expand our impact and reach, we are seeking a dedicated and experienced Logistics Associate to play a pivotal role in achieving our goals.

    As CTCL Logistics Associate, you will support the Advocacy Department in executing a program that is empowering our country’s local election officials to find their collective power and become a pro-voter force at the local, state, and national levels. You will be responsible for behind-the-scenes support that keeps the department running, such as coordinating schedules, developing agendas, tracking tasks, managing coalition contacts, and coordinating prep for various conferences and events. An ideal Logistics Associate will be highly organized, collaborative, and consistent.

    You’ll report to the Logistics Manager and work in collaboration with other members of the CTCL team.

    Responsibilities

    • Administrative Support
      • Assist department leadership with the tracking and submitting of expenses and organization of cross country travel
      • Own the creation, ordering, and organizing of all Advocacy conference materials; assist at the wider org level with other department/project promotional items
      • Support the detailed review of department materials such as presentations and policy briefs to ensure they are accurate and error-free
    • Assist the team in data entry and keeping internal databases updated including Google Groups and an Airtable CRM.
    • Coordinate with CTCL staff to identify and track engagement metrics
    • Meeting Logistics
      • Support department with sourcing & developing agendas, maintaining calendar events, note-taking, and tracking next-steps via project management tools
    • Strategize Coverage
      • Maintain a travel calendar for the department to determine in-person conference attendance and other in-person obligations
      • Own the gathering and organizing of conference materials across the U.S.

    • Commitment to priority audiences
      • Ensure CTCL programs for election departments prioritize voters who experience disproportionate barriers to voting. This includes voters who are newly eligible, have limited English proficiency, live with disabilities, or are from communities that are impacted by the digital divide or historical disenfranchisement due to race.
    • Work environment & Physical Abilities
      • This is a hybrid position with the ability to work remotely, with an expectation of being in the office at least once per week
      • This job involves the physical moving, lifting, and organizing of conference materials weighing up to 50 lbs.

    Growth

    CTCL uses organizational systems to keep staff connected and accountable to each other and the work. These systems include goal-setting, evaluations, and staff retreats every 6 months, as well as staff meetings and 1:1 calls each week.
