    Helpusadopt.org is a national 501(c)(3) nonprofit dedicated to making adoption inclusive and accessible by removing financial barriers. We provide grants of up to $30,000 to individuals and couples, regardless of race, religion, gender, ethnicity, marital status, or sexual orientation, to help cover the cost of adoption. Our organization supports domestic, international, and foster care adoptions and does not charge an application fee.

    Position Overview:

    We are seeking a highly organized and detail-oriented Development Associate with a strong understanding of database management, great customer service skills, and excellent writing ability. The ideal candidate will be proficient in Microsoft Excel and Salesforce (or a similar CRM database) and have experience managing donor data and generating development reports. Strong attention to detail, excellent problem-solving skills, and the ability to work independently are essential for success in this role. We are seeking a candidate who is a quick-learner and is excited to grow within the organization.

    Donor Database Management

    • Manage donor database, ensuring data integrity and accuracy.
    • Daily/weekly Post office runs for retrieval of mail; scan and deposit mailed checks in a timely manner.
    • Enter and track all donor transactions, donor information, and appeal-related communications.
    • Generate detailed reports and donor lists using the database.
    • Generate and track acknowledgments letters and tax receipts.
    • Monitor bank statements and payment processor system entries to collect, edit, and upload donor transactions to Salesforce, working with the VP of Finance to ensure accuracy.

    Development & Fundraising Support

    • Assist the Development Team in carrying out mass mailings and appeals (including year-end).
    • Manage peer-to-peer fundraising programs and support individual donor initiatives.
    • Reply to donor questions, and work with the Development Team to coordinate donor outreach efforts.

    Events Support

    • Assist with event logistics and day-of event operations.
    • Support event sponsorship efforts by emailing sponsors, tracking payments, sending reminders, and managing guest lists.
    • Help manage event RSVPs and maintain organized records in donor database.
    • Collaborate with the Development team on post-event outreach and follow-up.

    Skills and Qualifications

    • Strong analytical and data management skills
    • Proficiency in Salesforce (or other donor database system), Microsoft office suite
    • Exceptional written, verbal, and interpersonal communication skills
    • Strong attention to detail, highly organized
    • Excellent time management skills, including the ability to balance multiple and sometimes competing priorities
    • Ability to work under pressure in a fast-paced environment
    • Willingness to learn about and understand the issues facing the adoption community

    Requirements

    • Bachelor’s degree preferred
    • Minimum of two years in a nonprofit Development office
    • 9AM - 5PM Schedule: In office Monday - Thursday; Friday remote working with flexibility to be in office as needed
    • Flexibility to attend and support events outside of working hours and travel for regional event support

    Compensation

    • Salary Range: $55,000 - $60,000
