    Description

    The Bay Ride is a cycling event scheduled for September 13, 2025, organized by Live the Bay. This event requires comprehensive logistical planning and execution expertise.

    Primary Responsibilities:

    • Serve as the daily point person for event management and execution
    • Develop and manage comprehensive event timeline with deadlines for pre-event administration, marketing initiatives, and day-of logistics
    • Secure all necessary permits and approvals from municipal authorities
    • Create and oversee detailed budgets, providing regular financial accounting
    • Coordinate course logistics including:
      • Route marking and signage implementation
      • Aid station placement and scheduling
      • Support vehicle (SAG) coordination
      • Technical/mechanical support arrangements
      • Traffic control planning and execution

    Event Site Management:

    • Plan, coordinate, and oversee setup/teardown of primary event areas
    • Manage start/finish line logistics
    • Coordinate event day registration
    • Organize post-ride celebration activities
    • Create detailed site maps and equipment plans
    • Develop and execute event day agenda

    Required Skills & Experience:

    • Proven experience in large-scale athletic event management
    • Strong project management and organizational abilities
    • Excellent communication and interpersonal skills
    • Budget management experience
    • Knowledge of permit requirements and municipal regulations
    • Experience with traffic control planning and execution
    • Ability to coordinate with multiple stakeholders including sponsors, vendors, and volunteers
    • Crisis management and problem-solving skills

    Additional Responsibilities:

    • Coordinate with insurance providers to ensure proper coverage
    • Manage vendor relationships and equipment rentals
    • Supervise temporary staff and support personnel
    • Interface with local authorities and community organizations
    • Ensure compliance with all safety regulations and requirements
    • Provide regular status updates through management meetings

    Physical Requirements:

    • Ability to work long hours during event periods
    • Capable of lifting and moving event equipment
    • Extended periods of standing and walking during event setup and execution

    Work Schedule:

    • Regular business hours during planning phase
    • Extended hours required during event week
    • On-site presence required for all event activities
    • Some weekend work required for community meetings and event execution
