    POSITION SUMMARY

    The Executive Assistant is an exempt, full-time position responsible for providing administrative and operational support to WELC's leadership team, principally the executive director, deputy director, finance officer, and board. The position's primary responsibilities include the following:

    • Provide a full range of administrative support to the leadership team, primarily to the and director-level team leads, including calendar management, note-taking and travel planning.
    • Assist with the planning and coordination of organizational retreats, meetings, events, and other activities to further WELC's mission.
    • Assist with the coordination of organizational processes such as annual staff development plans, hiring and onboarding, internal reporting, and strategic planning.
    • Conduct basic research pertinent to organizational operations and WELC's mission.
    • Assist with managing physical offices, including office supplies, repairs, cleaning services, annual business registrations, etc.
    • Serve as board-staff liaison and assist board secretary by taking minutes; maintaining board records; planning board retreats; and facilitating board meeting logistics.
    • Assist with comprehensive and accurate record keeping, including relative to organizational policies and protocols, personnel files, and other records.
    • Assist with tracking foundation information including contact reports, grant proposal and reporting requirements, deadlines and files.
    • Assist with minor accounting and financial reporting duties.

    The Executive Assistant is a regular, 40-hour per week position, based out of our office in Portland, OR, Eugene, OR, or Taos, NM. This position will primarily work during Monday to Friday business hours. Limited travel may also be required, including overnight and weekend travel for staff retreats and events. The position also involves standard office physical demands. WELC will provide all reasonable accommodations to the extent possible or required under the Americans with Disabilities Act.

    QUALIFICATIONS

    • Certificate or college degree and ideally at least two (2) years of relevant office administration work experience.
    • Practical knowledge and experience with Microsoft 365, , Adobe Acrobat, and other office administration programs.
    • Practical knowledge and experience with Salesforce.
    • Practical knowledge and experience with both Windows and Mac operating systems, large-scale office copiers and scanning equipment.
    • Excellent oral, written, professional and technical communication skills.
    • Highly organized, detail oriented, and intellectually curious with ability to adhere to deadlines, and manage and prioritize multiple projects in a fast-paced work environment.
    • Ability to work independently and proactively, including a willingness to be flexible and adaptive when needed, and to recognize and respond to the needs of the organization.
    • Strong interpersonal skills to foster team-based relationships with WELC's board, management and leadership teams, staff, and clients, partners, and allies.
    • A commitment to conceptualizing and implementing strategies that further equity, inclusion, and justice, including through the just treatment and meaningful involvement of clients, partners, and frontline community groups and individuals.
    • Demonstrated commitment to WELC's mission and strategies and the public interest as well as a love for the land, waters, wildlife, and communities of the Western U.S.
