Finance & Operations Manager

About this Position

The Finance & Operations Manager is a new position at Envision. This position will increase our internal financial capacity to manage our day to day accounting, bond finance reporting and analyses and our internal financial reporting. Reporting to the Co-Executive Director, this is an exciting opportunity for an experienced accounting professional who wants to use their expertise to support our mission.

Finance

• Coordinate accounts payable approval including managing vendor information, collecting W-9s, filing contracts, syncing expenses on QuickBooks Online, process annual 1099s, requesting ACH and wire payments, and assisting with cash flow tracking.
• Maintain records for all expense and revenue reporting.
• Monitor and review backup for credit card charges.
• Prepare monthly expense and revenue financial reports as needed for management and board reports, as well as financial tracking and analysis.
• Prepare, reconcile and maintain schedules for balance sheet accounts such as cash, receivables, prepayments, investment accounts, payables, accruals, deferred income etc.
• Maintain audit-ready financial documentation. Support with annual audit & 990 preparation.
• Process semi-monthly payroll and payroll journal entry into QuickBooks Online.
• Review, track and process employee reimbursements.
• Support relationship management with various finance vendors and banks.
• Support updates to and implementation of fiscal policies, systems, procedures, tools, and controls
• Participate in the annual budgeting process.
• Work closely with immigration team to process bond payments and data reconciliations.
• Work closely with the development team to assist with financial aspects of grant applications, reporting and donation data entry.

Operations

• Light office management support on hybrid schedule.
• Maintain and update operations manuals.
• Log mail, distribute to relevant staff and process checks.
• Work with facility and IT vendors as needed for issues that arise.
• Provide event logistics support, approx. 1x/month.
• Support with human resources projects as needed.
• Coordinate data storage and project management tools.
• Contribute to enhancement of existing operational procedures to provide more efficiency and effectiveness to current systems and procedures.

Qualifications, Knowledge, and Expertise

• Experience with QuickBooks Online and Fund EZ.
• Excellent Excel skills.
• Familiarity with with Salesforce or other CRM.
• Ability to work independently and with others on shared projects.
• Excellent project management skills.
• Excellent attention to detail.
