    Description

    Mastic Beach Conservancy is a is a 501(c)(3) dedicated environmental nonprofit committed to protecting and preserving the wetlands of Mastic Beach on the south shore of Long Island. Currently run entirely by passionate volunteers, our organization has successfully built a strong foundation for conservation and education efforts in this economically diverse area. Specifically, we are working with the local government to establish and maintain an ecologically sound waterfront parkland along the nearly seven miles of publicly accessible Mastic Beach shoreline.

    As we enter our next phase of growth, we are seeking a highly organized and self-motivated person to support our team with internal and external correspondence, scheduling, data tracking, and general administrative duties. The ideal candidate will have excellent written communication skills, strong attention to detail, and the ability to manage multiple tasks independently. A commitment to the environment and conservation is essential. While local candidates are preferred, we are open to remote applicants who are highly qualified.

    The Administrative Assistant will work closely with our board president, vice presidents, secretary, and head of events. They will initially report directly to our Board secretary.

    Job responsibilities will include:

    • Managing internal and external correspondence, including responding to emails, drafting correspondence, and maintaining contact lists.
    • Scheduling and coordinating logistics for monthly board meetings, including preparing agendas, taking minutes, and distributing materials.
    • Maintaining and updating databases, including membership records and donor information.
    • Creating and managing spreadsheets to track organizational data and reporting.
    • Assisting in scheduling and coordinating events and meetings.
    • Performing general administrative tasks such as document organization, filing, permit acquisition and data entry.
    • Performing other duties as needed to support the organization’s daily operations.

    Qualifications:

    • Highly organized and detail-oriented with strong time management skills.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and Google Workspace.
    • Experience managing databases and spreadsheets.
    • Self-motivated and able to work independently with minimal supervision.
    • Previous administrative or nonprofit experience preferred.
    • Commitment to environmental conservation and sustainability.
    • Local candidates preferred, but remote candidates will be considered.
