    Position: Intake Coordinator

    Reports to: Supportive Services Manager

    Department: Programs

    Location: Los Angeles, CA. This is a hybrid position with some in-person work required. Applicants must live in LA County and be able to get to our office or event locations with reliable transportation. Paid parking is provided for employees. (NCJW|LA reserves the right to return to in-office at any time.)

    Hours: Full-time, non-exempt, Mon – Fri with a 37.5 hour work week, including some evening and weekend work.

    Position Objective: The Intake Coordinator will work to create and maintain services for NCJW|LA clients, program participants, and community members with a centralized entry point for accessing NCJW|LA programs and services.

    General Duties and Responsibilities

    The Intake Coordinator will collaborate with the Supportive Services Manager to develop and maintain services designed to meet the needs of NCJW|LA clients, program participants, and community members. The coordinator will conduct and track intake, identify client needs, keep participant and community partner information current, and coordinate general programs and services for our participant community. The ideal candidate should show teamwork, leadership, empathy, and creativity, and support women's economic justice and equality. They should also value respect, responsibility, and people's well-being.

    Client Intake

    • Develop and maintain intake and onboarding systems tailored to the needs of NCJW|LA clients using company resources, technologies, tools, and software.
    • Oversee the intake process, including phone screenings, email, and in-person interviews, to determine program eligibility and provide community referrals.
    • Ensure all intake calls and online intake forms are answered promptly and entered into the client management software.
    • Input, maintain, and organize detailed, accurate, high-quality client documentation and reporting to share with program team members.

    Internal and External Resource Referrals

    • Refer and make connections from and with eligible NCJW|LA community members in partnership with designated NCJW|LA program staff.
    • Develop and maintain close working relationships with local service providers, outreach workers, and case managers.
    • Maintain an updated, comprehensive list of county-wide service providers in designated categories that serve our target population.
    • Assist and follow up with case managers/partners with coordinating client resources and service delivery.

    Coordination with NCJW|LA Programs and Departments

    • Work with Supportive Services Manager and Program Directors and Managers to identify and provide key supportive services to meet needs of NCJW|LA program participants and community members.
    • Leverage data capabilities using data, program, and application management software.
    • Support development and marketing efforts by preparing any necessary information and reporting as needed.

    Ideal Candidate Qualities and Skills

    • 1-2 years’ experience in social services, ideally in case management and/or customer service, supporting working women in Los Angeles.
    • Skill or interest in building capacity around three established priority skills in NCJW|LA Program Department: 1) creative solutions, 2) kind, client-centered decision-making, and 3) finding a system that works for individual employees.
    • Resourceful, motivated self-starter who can manage time well and work autonomously with high self-accountability.
    • High emotional intelligence (EQ) crucial for building respectful and effective relationships with participants.
    • Demonstrate understanding and awareness of issues affecting women in Los Angeles and the impact on their well-being.
    • Strong communication and organization skills (open, honest, humble). We value solution-oriented feedback and problem-solving.

    Other Requirements

    • Must possess a valid Driver's License
    • NCJW|LA requires employees to be vaccinated as a condition of employment.

    • Strong administrative skills
    • Experience with Microsoft Office, Outlook, Excel, and Word. Internet savvy is required.
    • Smartphone compatible with work-related apps. A phone stipend is provided.
    • Physical requirements: The job frequently requires sitting for extended periods, and must have the ability to lift to 30 lbs.

    The anticipated salary range for a non-profit Intake Coordinator position is $23.21 - $26.66 an hour depending on location, knowledge, skills, education, and experience.
