    Job Summary:

    The Administrative Assistant provides critical administrative and operational support to the Executive Director, Director of Development, and Board leadership while helping advance the organization’s overall efficiency and growth. This is a new position in a young, dynamic organization, offering an exciting opportunity to shape the role’s responsibilities and make a meaningful impact as the organization evolves.

    Responsibilities:

    • Administrative and Operational Support
      • Establish and maintain organizational systems, files, documents, and operational calendars.
      • Provide day-to-day administrative support to the Executive Director, Director of Development, and Board leaders.
      • Facilitate internal and external communications, including responding to general inquiries and ensuring appropriate leadership follow-up.
      • Draft and manage regular correspondence such as meeting agendas, Board updates, newsletters, and responses to prospective residents and collaborators.
    • Board and Advisory Council Support
      • Collaborate with the Board Chair and Board Clerk to prepare and organize materials, including meeting agendas, minutes, committee membership lists, and charter details.
      • Support follow-up on Board and Advisory Council actions and other organizational needs.
    • Development Support
      • Assist the Director of Development in preparing and managing appeals, donor acknowledgements, tax receipts, and stewardship efforts.
      • Maintain and update the Manship database, including fundraising appeal responses, contact lists, mailing lists, and donor data.
      • Support occasional development events with tasks such as invitations, ordering, and day-of partnership.
    • Financial Coordination
      • Support bookkeeping functions, including managing open invoices, documenting transactions, and tracking finances against the annual budget.

    Note: Responsibilities may evolve as the Manship Artists Residency continues to grow.

    Qualifications:

    • Excellent organizational, verbal, and written communication skills.
    • Strong problem-solving abilities and resourcefulness.
    • Professional and welcoming demeanor with a positive, customer-service-oriented mindset.
    • Proficiency with Google Workspace, word processing, database management, and operational systems.
    • Ability to maintain confidentiality and handle sensitive information with discretion.
    • Self-motivated, proactive, strategic, and capable of working both independently and collaboratively.
    • Adaptable, enthusiastic, and open to growth with a sense of humor and a positive outlook.

    SALARY: $25/hr; 25 hrs/week
