    Job Description:

    Dress for Success Worldwide seeks a talented and motivated individual to join our finance team in a hybrid capacity in our New York offices. Reporting to the Chief Operating Officer, the Staff Accountant will be an integral part of our small, highly productive operations team.

    Essential Functions:

    The Staff Accountant’s primary responsibilities will include verifying, processing, and reconciling invoices. Ensuring accurate coding and allocations of invoices, proper authorization, and timely payment of the organization’s payables. Preparing payroll Bi-weekly payroll, including garnishments, benefits, and taxes per federal and state wage laws. Preparing and analyzing financial statements as needed.

    Responsibilities include:

    • Enter and process invoices accurately and efficiently in our accounting software, QuickBooks online
    • Verify invoice details, including vendor information, quantities, and pricing to ensure accuracy and consistency
    • Process and manage vendor payments through checks, ACH transfers, and wire transfers
    • Review and process payment requests for accuracy, proper expense allocations, and supporting documentation
    • Process all disbursements and checks for signatures by authorized officers
    • Maintain financial records for Affiliates, reconcile and process Affiliate quarterly distributions
    • Collaborate with other departments to review and evaluate affiliate performance and compliance
    • Assist with the month-end accounting close process (including, but not limited to, AP close, accruals, and prepaid expenses) and reconcile AP ledger with the general ledger
    • Manage AP in Stampli and QuickBooks accounting software; ensure all accounts payable transactions are properly coded and allocated across the organization
    • Prepare and post general journal entries for petty cash
    • Ensure proper GL coding and posting of credit card expenses
    • Maintain accurate and up-to-date accounts payable records
    • Process bi-weekly payroll for up to 30 employees, including salaried and hourly workers
    • Monitor transactions for several funds/companies and bring attention to pending issues
    • Maintain vendor and accounts payable filing systems
    • Prepare and analyze the AP aging reports
    • Prepare information for the annual audit, including schedules, and provide related support/documentation as requested during the audit period
    • Assist with annual budget preparation and processes
    • Prepare 1099 reporting and maintenance of W-9 forms
    • Books depreciation transactions in the GL
    • Other duties as required by the Chief Operating Officer

    Required Education and Experience

      • Bachelor’s degree in accounting, finance, or equivalent
      • At least 3 years of relevant accounting experience
      • 1-3 years of payroll experience; familiarity with ADP is a plus
      • Strong understanding of accounting and financial reporting principles and practices
      • Advanced proficiency in QuickBooks Online, Bill.Com or Stampli.com, Microsoft Office, or other accounting software for non-profits

    Position Type and Expected Hours of Work

    This is a full-time position with a business schedule from Monday through Friday from 9 A.M. to 5 P.M. Employees must work 35 hours each week to maintain full-time status. Limited travel may be required. Employees work on-site in our New York City office three days per week and remotely two days per week.

    Physical Demands

    Employee may need to lift and/or move up to 10 pounds in performing regular office duties and managing records, files, and materials.
