    The Administrative Specialist at the Justice & Accountability Center of Louisiana will provide comprehensive support to the legal team, focusing on client intake, case management, and community outreach. The role includes organizing legal clinics, conducting research, and managing communications with clients and partners. JAC has been at the forefront of significant policy reforms, including solitary confinement and expungement laws in Louisiana.

    Position Summary

    We are looking for a highly organized, motivated, and detail-oriented Administrative Assistant to support the legal team. The Administrative Assistant will play a key role in ensuring the smooth operation of our programs and services. This position requires a proactive individual with strong communication skills who can handle a variety of administrative tasks, manage client interactions, and support our legal team in case management and advocacy efforts.

    Key Responsibilities

    • Client Support & Case Management:
      • Conduct legal intake for clinics, help desks, and online applications.
      • Assist in screening applicants seeking legal representation through calls, emails, and in-person interactions.
      • Provide information on JAC’s programs via phone, email, and at outreach events.
      • Assist with organizing and implementing legal clinics, workshops, and outreach events.
      • Conduct follow-up with clients to gather feedback and identify those interested in advocacy.
    • Administrative & Legal Support:
      • Schedule and coordinate meetings, hearings, and legal appointments.
      • Maintain and organize digital files in JAC’s case management system.
      • Draft, edit, and prepare legal documents, including expungement forms, discovery, and public records requests.
      • Conduct legal research on various issues, including solitary confinement, expungements, driver’s licenses, and occupational licensing.
      • Assist in preparing materials for board and legislative hearings, including drafting testimony and policy summaries.
    • General Office & Administrative Duties:
      • Monitor and respond to emails, phone calls, and community inquiries.
      • Prepare reports and documents for grant submissions related to legal services.
      • Assist in managing calendars, scheduling deadlines, and organizing outreach materials.
      • Review and summarize legal documents, exhibits, and case files for attorneys.
      • Travel as needed for legal services delivery, client meetings, or outreach events.

    Job Requirements

    • Education & Experience:
      • High school diploma or GED required; an associate or bachelor’s degree is preferred.
      • At least 2 years of experience in administrative support, preferably within a legal or nonprofit setting.
      • Experience with case management systems, Google Workspace, and legal documentation is a plus.
    • Skills & Qualifications:
      • Strong communication skills, both written and verbal.
      • Excellent organizational and multitasking abilities with a keen attention to detail.
      • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
      • Ability to handle confidential information with integrity and professionalism.
      • Ability to work independently, prioritize tasks, and meet deadlines.
      • Commitment to social justice, racial equity, and decarceration efforts.
    • Personal Attributes:
      • Flexibility, creativity, and willingness to adapt to changing priorities.
      • Strong problem-solving skills and the ability to work under pressure.
      • A positive attitude and a collaborative spirit.
