Overview
Since 1997, the Irish Immigration Pastoral Center has been providing support and offering services to the Irish Immigrant community in the San Francisco Bay Area. The IIPC is seeking an efficient, organized, and friendly team member to support all front desk, wellness, and volunteer program administrative tasks. As the Program Support Coordinator, you are the face of the organization to our arriving and established immigrant community, and will provide critical assistance to our community outreach programs. The ideal candidate has worked in a nonprofit setting and has some client intake experience related to wellness.
Client Intake
- Manage client intake process under the supervision of the Executive Director or Wellness Program Coordinator
- Determine client service needs and refer client to program lead
- Review client forms for accuracy and upload to new arrival & client databases (Excel, new CRM System); maintain said databases
- Manage client feedback surveys
Volunteer Coordinator
- Assist with volunteer management under the supervision of the Executive Director & Programs Manager, including determining and filling IIPC volunteer needs
- Supervise the training of roles for each volunteer
- Organize volunteer thank-you events
New Arrival Program
- Maintain accommodation (landlord/tenant) databases & outreach to landlord/tenant
- Provide a referral for landlord/tenant Issues
- Maintain employment (employer/employee) databases & outreach to employer/employee
- Provide resume assistance
J1 Summer Program
- Research, compile, and create relevant material including health & wellness resources to support J1 Summer participants
- Network and build relationships with summer employers and businesses in the region
- Manage J1 Summer Facebook group for outreach & information sharing
- Plan and execute J1 events
- Liaise with J1 sponsor agencies to troubleshoot issues
- Represent IIPC on the National J1 Sub-Committee with (CIIC) Coalition of Irish Immigration Centers
Administration
- Answer incoming phone calls, greet walk-in clients, respond to emails and general community queries, and organize mail daily with excellent communication skills, both written and verbal
- Maintain the organization's virtual meeting and event calendars
- Interface with clients, donors, staff, and the Board of Directors with professionalism and an energetic attitude
- Process program payments and run weekly activity reports; manage program bank deposits & report to bookkeeper
- Administer core office functions, such as maintaining facility, supplies, banking
- Support preparation for quarterly IIPC board meetings
- Order office supplies and manage inventory
Additional Tasks
- Provide administrative assistance to clients seeking Irish citizenship or passports
- Prepare and submit online International Driver's License applications
- Various tasks assigned by the Executive Director, engaging with various organizational programs and staff
QUALIFICATIONS
- Experience with the Irish Community is preferable
- Comfortable interacting regularly with people, including IIPC constituents, clients & community partners
- Minimum of two years' professional work experience
- Client intake experience in a social services setting
- A commitment to the overall mission and values of IIPC
- Highly motivated, an ability to work independently and as part of a team
- Experience in a nonprofit work setting, specifically wellness and volunteer management a plus
- Excellent written and verbal communication and interpersonal skills.
- Proficiency in Word, Excel, PowerPoint, Social Media (such as Facebook, Twitter, LinkedIn), Eventbrite
- Experience working with client/donor database management software is a plus
- High level of integrity and ability to keep information confidential
- Great organizational and interpersonal skills and attention to detail
- Ability to perform a variety of tasks simultaneously
- since transporting equipment to events is a requirement, having access to a vehicle and a valid driving license is preferred.
Additional Information
- Hours are typically Monday – Friday; 10:00am – 6:00pm (in office)
- Flexibility needed for evening and weekend events
