    Equality California Institute. Equality California Institute is a 501(c)(3) organization that has a parallel mission to Equality California, its 501(c)(4) counterpart. Equality California Institute works to achieve full, lived LGBTQ+ equality by reducing disparities in LGBTQ+ health and well-being, developing a pipeline of LGBTQ+ leaders and increasing civic participation within the LGBTQ+ community.

    Position Overview:

    The Temporary Events Associate will support the development department in the administration and production of all fundraising and donor engagement events. The person in this role will be integral to the execution of six major annual gala events plus additional smaller events throughout the year. The Temporary Events Associate will work directly under the supervision of the Associate Director of Events & Sponsorships, while providing assistance to the development department based on need. Occasional evening and weekend hours and travel are required.

    Responsibilities:

    The Temporary Events Associate’s essential functions include the following:

      • Participate in tracking pledges and payments of tickets and table sales, and process gifts and sponsorships for multiple events simultaneously noting important details like contact information and attributions.
      • Communicate effectively and efficiently across multiple systems (e.g., email, phone, etc.) with sponsors and guests in the lead up and post events.
      • Participate in logo, listing, and guest list collection
      • Track and process vendor invoices.
      • Schedule meetings as needed.
      • Assist with research projects for the events team as assigned.
      • Attend and work all development events, including the 6 Equality Awards, as scheduled.
      • Assist with on-site event logistics and duties including setup, tear-down, and other required event details.
      • Produce post-event reports and gift acknowledgements.
      • Other duties as assigned.

    Qualifications:

      • Demonstrate a strong passion for LGBTQ+ equality and social justice.
      • 1-2 years of experience working in events or development with 500+ guests.
      • Highly developed organizational skills with attention to detail.
      • Effective interpersonal skills.
      • Excellent time management skills.
      • Ability to juggle competing demands, use good judgment, and achieve results in a fast-paced, high-pressure work environment.
      • Strong administrative skills, including the ability to work independently, prioritize work, and remain flexible on multiple simultaneous projects.
      • Demonstrated computer competency and working knowledge of Microsoft Office and Google Drive. The ability to learn new software systems.
      • California driver's license, insurance, and reliable access to a car.
      • This position will require a flexible schedule including evening and weekend work time, as well as regular travel across California and Nevada. This will also include participation in Equality California’s schedule of events, including Pride festivals, advocacy events, and more.

    Physical demands of this position include minimal to light physical effort is generally required in performing duties in an office environment. Sitting or standing for long periods and frequent viewing of computer screens and other resources. Hearing and speaking to exchange information in person and on the telephone. Seeing to read, prepare, and proofread documents, and perform assigned duties. Hand-eye coordination is necessary to operate computers and various pieces of office equipment. Specific vision abilities required by this job include close vision and the ability to adjust focus.

    Work environment is normally performed in a site-based or home-office work environment and is subject to constant interruptions. Driving to off-site locations to conduct work is required as business dictates. This position requires the ability to stand for long periods, at times in unpleasant weather conditions Must be able to move safely over uneven terrain for outdoor activities. The noise level ranges from quiet to loud depending upon the activity in the particular part of the day and location.

    Mental Specifications:

    The mental requirements that may be necessary to perform the job are the ability to learn new tasks, remember processes, maintain focus, complete tasks independently, make timely decisions in the context of a workflow, ability to communicate with visitors, ability to complete tasks in situations that have a speed or productivity quota. Good reasoning ability is required to solve a wide range of business problems. Able to learn, adhere to, and apply established or new processes and protocols with short notice. Ability to operate in an occasional off-site environment that presents an uncomfortable environment. Ability to seek support.
