    The Team

    Your Role

    The Program Associate will play a pivotal role in supporting the GitLab Foundation's grantmaking and programmatic efforts. This position offers a unique opportunity to collaborate across teams, partners, and stakeholders to advance the foundation’s mission. The Program Associate will manage administrative grant oversight processes, contribute to program strategy, and engage with nonprofit grantees across multiple countries to help them maximize impact.

    Key Responsibilities

    Grantee and Programmatic Support

    • Grantee Communication: Serve as a key point of contact for grantees, providing clear and timely guidance on grant requirements, reporting deadlines, and program expectations.
    • Relationship Building: Build and sustain strong, trust-based relationships with grantees, fostering a culture of transparency, respect, and mutual collaboration.
    • Program Monitoring: Support Program Officers in tracking grant progress, reviewing grantee reports, and monitoring key performance metrics to assess outcomes and identify opportunities for improvement.
    • Research and Analysis: Conduct research to inform grant decisions, program development, and strategic planning. Synthesize findings into actionable insights to guide program strategy.
    • Program Support: Create impactful materials for team, board, and external meetings, including strategy updates, impact reports, and presentations highlighting program achievements.
    • Learning and Engagement: Coordinate convenings, webinars, and events that connect grantees, promote shared learning, and amplify program impact.

    Administrative and Operational Support

    • Grant Administration: Manage administrative tasks throughout the grant lifecycle, including processing applications, tracking deadlines, and ensuring accurate documentation of grant-related activities. Focus on grantee-facing administrative support, ensuring grant materials and communications are clear and accessible.
    • Compliance and Policies: Work collaboratively with the Grants Manager to support due diligence and compliance requirements by ensuring grantees understand and meet grant-related expectations.
    • Meeting Coordination: Schedule and organize internal and external meetings, including preparing agendas, managing logistics, documenting meeting notes, and tracking follow-ups.
    • System Maintenance: Maintain and update the grants management system, ensuring data integrity and accuracy. Collaborate with the Grants Manager to support program tracking and ensure accurate data for program-related reporting.
    • Handbook Updates: Support documentation on programmatic updates and insights in the Foundation's handbook, ensuring transparency and accessibility for team members and stakeholders.
    • Continuous Improvement and Strategic Alignment: Contribute to capturing lessons learned, sharing best practices, and aligning programmatic goals with broader ecosystem trends and grantee needs to drive continuous improvement and ensure programs remain relevant and impactful, in collaboration with the Impact Measurement and Analytics team

    Desired Knowledge, Skills, Experience and Personal Attributes

    • 3+ years of proven experience in a complex operations, administrative, program management role, preferably supporting senior leadership in a nonprofit or corporate setting.
    • Strong organizational skills and the ability to manage multiple priorities simultaneously in a fast-paced, results-focused environment.
    • Proficient in remote work tools and platforms (e.g., Zoom, Notion, Slack, Google Workspace, and other project management tools).
    • Excellent written and verbal communication skills, with high attention to detail.
    • Strong relationship-building and consultation skills; collaborative and adaptable
    • Comfortable with giving and receiving feedback for improvement
    • Experience with agile ways of working is a plus
    • Video/audio editing skills with tools such as iMovie are a plus
    • Demonstrated mission- and impact-orientation

    U.S. Compensation and Benefits*

    • Full-time remote position (must be based in the US or Colombia.
    • Annual Salary Range: $55,000-$70,000 (US). Location-specific (based on experience. Learn more about compensation at the Foundation.
    • Health, dental, and vision benefits covered (100% of premium covered for team members, their spouses, and dependents)
    • 401k: 10% employer contribution
    • Unlimited paid time off
    • Additional benefits offered to team members
    • Anticipated travel: Approximately 10-15% of the time, potentially including international travel
