    POSITION SUMMARY:

    The Operations Coordinator is responsible for providing event planning, office management, meeting support, and general administrative support to RLF, coordinating with the Senior Operations Manager as necessary. The Operations Coordinator is part of the operations team and assists in managing the Sacramento, CA office and assists with other satellite office locations as requested. The Operations Coordinator reports to the Senior Operations Manager and is a non-exempt position.

    This is a hybrid position based in the greater Sacramento, CA area that requires a minimum of two days per week and up to five days per week on site in the Sacramento office. Frequency subject to office event and hiring schedules.

    Duties include:

    Event Planning and Coordination

    • Coordinate event venue, catering, AV, and other vendors needs for the annual all-staff retreat, serving as the primary point of contact and coordinate with the Senior Operations Manager for processing contracts and payments.
    • Conduct venue visits to assess suitability of prospective event locations and coordinate hotels accommodation, staff communication, attendance tracking, and dietary preferences.
    • Support set up and take down at retreat locations as necessary.
    • Assist with planning for various events such as leadership team retreats, staff meetings, workshops, morale events and other in-person and virtual events.
    • Coordinate event logistics, travel, catering, and serve as primary point of contact for vendors.

    Sacramento Office Administration

    • Maintain Sacramento office space, including organization and cleanliness of shared office spaces, such as conference rooms, kitchen, workroom, and empty offices.
    • Manage office and kitchen supply inventory and order supplies as needed.
    • Coordinate with building management and other facilities vendors to provide in-person support when requested.
    • Set up and issue suite and building access cards to new staff.
    • Coordinate with staff and meeting organizers to assist visitors and arrange catering and drink preparation for on-site meetings.
    • Serve as Safety Coordinator for the Sacramento office by updating employees on safety rules and evacuation guidelines, attending building safety meetings, and notifying the Senior Operations Manager of updates, trainings, drills, etc.

    Office Equipment/Technology + Hardware Management

    • Maintain a working knowledge of conference room technology, develop training materials, and provide troubleshooting support for staff and visitors.
    • Act as the primary point of contact for RLF staff and visitors in the office for troubleshooting, technology, and facility needs.
    • Coordinate with vendors as needed to resolve technology, equipment, and facilities concerns under the direction of the Senior Operations Manager to support smooth operation of the office.
    • In compliance with RLF policies and procedures, perform technological tasks necessary for the protection of data.
    • Work with the Senior Operations Manager to order new laptops, coordinate imaging and account setup with RLF’s managed services provider, and ensure devices are ready for staff.
    • Track and manage the hardware inventory for all RLF staff.
    • Ship and receive laptops and other hardware as needed.

    Clerical Support

    • Manage incoming calls, mail distribution, and outgoing shipments, ensuring timely processing and delivery.
    • Support staff with document scanning, filing, and electronic storage management.
    • Provide general office and clerical support, including scheduling meetings and assisting with special projects.

    • 3+ years of relevant experience
    • Excellent organizational, time management, and attention to detail skills.
    • Great customer service, interpersonal, and communication skills (written and verbal).
    • Strong written and verbal communication skills.
    • Problem-solving and basic troubleshooting abilities.
    • Knowledge of Office applications, including Word, Excel, and Outlook. Excellent technology skills and the ability to learn new technology quickly and thoroughly.
    • Friendly, service-oriented, and adaptable personality.
    • Work efficiently independently and collaboratively as part of a team.
    • Ability to adhere to numerous deadlines and manage conflicting priorities.

    The Operations Coordinator starting pay is $30 per hour (approximately $56,000 annually, with our work schedule). Salary commensurate with related work experience and qualifications.

    We have an alternate Fridays off work schedule and offer a comprehensive benefit package including medical, dental, and vision insurance, 401k plan with a 5% match, and generous paid time off. RLF also offers a technology allowance, student loan repayment assistance, the Calm app, mental health benefits and approximately 16 paid holidays per year.
