    MARIN FC • Bookkeeper Role Description Administrative Staff

    Wages:

    Base Starting: $40-$50/hour depending on experience

    Raises: Maximum of 2.5% per year based upon BOD review and approval

    Bonuses: Maximum of 5% per year based upon BOD review and approval

    Term: Month to Month

    Hours: Hours variable (busy period May - August); Approximately 20 hours per week on average

    Qualifications:

    Licensure: n/a

    Degree: Minimum Bachelor's in related field

    Experience: Minimum 3 years in administrative staff position; Quickbook experience

    Qualities: Technically proficient, high organization aptitude, high management and interpersonal skills and demeanor

    Role Responsibilities:

    1. Provide general administrative support to club with primary focus on financial operations but also supporting registrar, sub committees and board with document requests, management and archival.
    2. Communicate with and develop working relationship with teams, coaches, sub committees and admin staff to ensure that the club’s teams, managers, employees and staff comply with (a) laws and regulations, (b) policies relative to the prevention of illegal acts, (c) club procedures and guidelines, (d) administrative deadlines and (e) club code of ethics and periodic representations obtained from the Board related to compliance with laws and regulations, as these items relate to the financial operations of the club.
    3. In course of work review club procedure, processes and guidelines to ensure they are current, accurate and report to the Board any short comings or deficiencies that need to be addressed. Board is responsible for reviewing and updating said club procedure, processes and guidelines in response to feedback.
    4. Manage club postal mail, bank accounts, investment accounts, receipts, accounts payable, accounts receivable and payroll under the auspices and oversight of the Board President, Board Treasurer or Finance Committee or an appropriately designated sub-committee of the Board of Directors. Accounts receivables and accounts payable will eventually be split into two roles with accounts payable being the primary focus of this scope.

    However, basic familiarity with accounts receivable is also required for redundancy.

    1. Maintain chart of accounts and vendors.
    2. Provide month and year end reports and other financial reports as requested.
    3. Interface with CPAs and Auditors for annual filings providing information within the scope of the role responsibilities.
    4. Provide reports or updates for meetings of the Board of Directors, managers meetings, coaches meetings, club website, referees, and other needs as requested.
    5. Any additional responsibilities as directed by the Board of Directors as related to the financial operations of the club.
