As an Administrative Assistant, you’ll play a vital role in helping our programs run smoothly and empowering the Director of Direct Services to focus on transforming lives.

    Position Overview:

    We are seeking a highly organized and proactive Administrative Assistant to provide critical support to the Director of Programs. The ideal candidate will manage a variety of administrative tasks, allowing the Director to focus on program leadership and strategy. This role will involve managing a busy email inbox, scheduling and coordinating meetings, and assisting with overall program administration.

    Key Responsibilities:

      • Email Management: Organize and prioritize the Director's inbox, respond to routine inquiries, and flag urgent matters for attention.
      • Calendar Management: Maintain the Director's calendar, schedule meetings, events, and program-related activities, and ensure there are no scheduling conflicts.
      • Meeting Coordination: Prepare meeting agendas, take notes and follow up on action items. Assist with logistical arrangements for internal and external meetings.
      • Program Support: Assist with administrative tasks related to BAS, C2C, and CBA programs, including data entry, preparing reports, and maintaining accurate records.
      • Document Preparation: Draft emails, reports, presentations, and other documents as needed for program updates and communications.
      • Task Tracking: Keep track of deadlines, project timelines, and program milestones
      • General Administrative Support: Handle phone calls, file and organize documents, and provide additional support on various day-to-day tasks.

    Qualifications:

      • Proven experience in an administrative role.
      • Strong organizational and time management skills, with attention to detail.
      • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and calendar management tools like Google Calendar.
      • Excellent written and verbal communication skills.
      • Ability to prioritize tasks and manage multiple projects simultaneously.
      • A proactive, resourceful, and problem-solving attitude.
      • Experience working in a nonprofit environment or with mission-driven organizations is a plus.

    Physical Requirements:

    • Ability to sit at a desk and work on a computer for extended periods.
    • Occasional lifting of office supplies and materials (up to 20 pounds).

    Work Environment:

    This position is based at Rising Tide’s main office in Jersey City, New Jersey and may offer a hybrid work arrangement, combining remote and in-office work based on organizational needs. Availability for occasional travel to local program sites and events may be required.
