    About the Library Foundation

    The Library Foundation of Los Angeles (LFLA) provides critical support to the Los Angeles Public Library resulting in free programs, resources, and services available to the hundreds of thousands of adults, children, and youth in Los Angeles. We accomplish this mission through fundraising, advocacy, and producing innovative programs that strengthen the Library and promote greater awareness of its life-changing and dream-fueling resources.

    Position Description

    The Development Administrative Assistant is an enthusiastic and detail-oriented individual in a thirteen-person development team that supports LFLA’s strategic and fundraising goals by serving as the main administrative and data support. This position is in-person and requires excellent administrative skills, judgment and discretion, and the ability to oversee significant projects.

    Ideal Candidate

    The LFLA seeks candidates who have strong attention to detail; high energy, with a “can do” attitude; proactive and flexible in an environment of change, a critical thinker, customer service friendly, and solution oriented. The ideal candidate will work collaboratively with the Chief Development Officer, the Director of Data Services and other departments to achieve fundraising and donor stewardship initiatives and organization benchmarks.

    DUTIES AND RESPONSIBILITIES

    Administrative Support

    • Provide high-level administrative support to the Chief Development Officer, including scheduling meetings, managing daily calendars, and other administrative responsibilities
      • Coordinate projects and schedules, create and maintain systems for tracking work, drive fundraising goals and maintain departmental files and records
    • Prepare CDO for meetings, including collecting and presenting information for use in discussions and meetings with senior leadership, board members, and donors
      • Attend meetings, take and distribute notes, and assist with organization
      • Meet and greet visitors of the Development department
    • Serve as Executive officeliaison to the accounting department, completing check requests, expense reports, credit card reconciliation, etc. for the Chief Development Officer.
    • Other duties as assigned

    Data Services

    • Work with Director of Data Services and the Database & Gift Processing Specialist to update, correct, and de-dupe constituent records in Raiser’s Edge
    • Utilize Raiser’s Edge to maintain accurate and up-to-date records on donors and prospects.
    • Assist in gift entry to batches, particularly in standard donations
    • Assist with receipting of gifts and produce acknowledgement letters
    • Scan and file gift documentation, both digitally and hard copies
    • Other duties as assigned

    DESIRED QUALIFICATIONS

    • 3-5 years of experience working in nonprofit administration, executive support, or similar
    • Experience with CRM software; experience with Blackbaud/Raiser’s Edge, specifically, is a plus
    • High level of professionalism with the interpersonal and communication skills to manage donor relationships
    • Thorough attention to detail, commitment to accuracy
    • Proficiency with MS Office Suite (Outlook, Word, Excel)
    • Experience with event and marketing software, such as Eventbrite and Mailchimp
    • Methodical approach to processes and procedures
    • Ability to maintain confidentiality and discretion
    • Excellent oral and written communication skills
    • Demonstrated ability to work collaboratively with volunteer leadership and colleagues
    • Ability to work independently and creatively solve problems as needed
    • Ability to work some nights and weekends for events when needed (with advance notice)

    SCHEDULE/HOURS/LOCATION

    Schedule: There is flexibility to agree on an amenable schedule, but this may look like Monday through Thursday (7 hours per day), or a similar arrangement

    Hours: Part-time (28 hours/week)

    Location: In-person work at the Central Library in downtown Los Angeles with occasional travel. Must be available to work occasional evenings and weekends.
