    Position Overview

    The PT Administrative Coordinator plays a key role in strengthening Generation Hope’s internal operations. This part-time position focuses on maintaining office procedures, providing administrative support, and serving as a primary point of contact for visitors, vendors, and stakeholders at the National Office in DC. Additionally, the PT Administrative Coordinator contributes to key internal programs, including advancing Generation Hope’s race equity initiatives and supporting the Internship Program, while ensuring smooth and efficient office logistics.

    With a strong attention to detail and substantial experience in administrative or operational roles, the PT Administrative Coordinator will help ensure the seamless functioning of our office. This part-time role will occur in the National Office in DC three (3) days a week, making it an excellent opportunity for professionals seeking a meaningful and balanced work experience.     Key Responsibilities

    Administrative Support

    • Manage and update the organization-wide calendar and the National Office calendar, ensuring staff are informed of scheduling changes.
    • Support electronic document management and filing systems to ensure accurate and accessible record-keeping, including leading the shared company drive.
    • Assist with scheduling meetings, trainings, and events for the HR department.
    • Collaborate with the Vice President of Operations & Strategy to ensure timely distribution of incoming mail and proper handling of outgoing correspondence.
    • At times, assist the Executive Leadership Team with administrative tasks, including preparing documents, correspondence, and reports.

    Program & Office Coordination

    • In partnership with the Human Resources Manager, assist with managing the Internship Program by coordinating onboarding, managing schedules, and providing administrative support.
    • Actively participate as a Staff Morale Committee member, helping to cultivate a positive and engaged workplace culture.
    • Coordinate office space rentals, including handling applications, serving as the onsite support for renters during events, and acting as the point of contact when communicating with potential renters.
    • Act as lead for the Envoy platform for visitor management and the Kastle system for National Office security.

    Office Operations & Vendor Management

    • Maintain an inventory of office supplies, equipment, and kitchen necessities, ensuring items are well-stocked and replenished as needed.
    • Act as the lead for consistent and timely communications with office vendors, including cleaning services, IT support, Kastle Security, Comcast, and copier providers, to ensure our services are up-to-date and meet the organization and its staff’s standards.
    • Ensure the office environment remains clean, organized, and welcoming.
    • Collaborate with the Director of Human Resources & Administration and other departments as needed to provide logistical support for staff meetings, events, and gatherings.
    • Have a firm grasp of audio/visual technology.

    Customer Service

    • Welcome National Office visitors, direct them appropriately, answer calls, relay messages, and respond to general inquiries.
    • Update the Generation Hope central phone system, as appropriate, and answer and respond to messages that come through the general phone line and the general office info@generationhope.org email address.

    Additional Duties

    • Perform other tasks as assigned to support Generation Hope’s mission and operations.

    Minimum Requirements

    • Associate’s degree in business administration or a related field
    • At least three years of experience working in a nonprofit office environment
    • Knowledge of standard administrative practices and procedures.
    • A strong passion for Generation Hope’s mission and values.

    Schedule:

    • Regular work hours are from 9am to 5pm; with weekends, extended, or alternative hours for special events.
    • Generation Hope has a hybrid work environment. This role will work in the DC office on Monday, Tuesday and Thursday.
