    Job Description:

    Barred Business is seeking a highly organized and proactive Operations and People Manager to streamline and optimize the organization’s internal processes. Reporting to the Executive Director and working closely with the Deputy Director, the Operations and People Manager will ensure efficient day-to-day operations, manage board-related processes, oversee onboarding and training for team members, and manage staff time recording. This role is pivotal in supporting the organization’s mission to build power with justice-impacted communities.

    Position Overview

    Barred Business seeks a highly organized and proactive Operations and People Manager to streamline and optimize the organization’s internal processes. Reporting to the Executive Director and working closely with Deputy Director, the Operations and People Manager will ensure the efficient day-to-day operations, manage key vendor and board relations, lead recruitment, onboarding and onboarding and, serve as point of contact for staff engagement.

    Key Responsibilities:

    Operation Management:

    • Monitor and maintain compliance with state and federal entities to ensure organizational compliance with all required regulations.
    • Identify and secure additional resources to enhance operational efficiency and support programmatic needs and growth.
    • Manage office inventory, including supplies and external marketing materials, ensuring timely ordering, cost control, and vendor relationship management.
    • Ensure the general cleanliness, upkeep of the office, including managing office space, equipment, physical assets, and general office security.
    • Research, evaluate, and onboard new vendors and service providers, ensuring cost-effectiveness and alignment with organizational values and needs.
    • Coordinate office systems and technology, including software tools, communication platforms, and hardware to ensure seamless operation.
    • Facilitate and oversee organizational technological training sessions, such as Grow with Google and other relevant technical platforms to enhance team skills and knowledge.
    • Organize and coordinate all administrative tasks related to external memberships, subscriptions, and software accounts, keeping credentials updated.
    • Identify and implement opportunities for process improvement and cost savings.
    • Partner with the Executive Director and leadership team to develop and implement organizational strategies.
    • Manage the recording of work hours for staff and temporary personnel, ensuring accuracy and compliance with organizational policies.

    Board and Leadership Support:

    • Collaborate with the Executive Director to manage monthly board meetings including but not limited to assembling and distributing board meeting packets.
    • Schedule board meetings and ensure timely communication with board members.
    • Maintain accurate records of board activities, decisions, and follow-up actions.
    • Partner with the leadership team to identify and implement infrastructure improvements, ensuring the team is well-equipped to meet organizational goals.

    People Management:

    • Support performance management initiatives, including evaluations and professional development plans.
    • Facilitate team-building activities to foster a collaborative and inclusive culture.
    • Lead onboarding processes for new team members, ensuring a welcoming and comprehensive orientation experience.
    • Facilitate team training and professional development activities in partnership with the leadership team and external training partners.
    • Track and document staff participation in training and development programs, providing detailed insights to inform decision-making.
    • Support the Deputy Director in maintaining up-to-date personnel records and documentation.
    • Create Team-Building and Culture -Building Activities to foster a healthy work environment.
    • Maintain compliance with all regulatory and operational requirements, keeping the team informed of relevant policies and procedures.
    • Support staff and leadership in facilitating smooth internal communication, problem-solving, and decision-making processes.

    Financial and Administrative Support:

    • Assist the Executive Director and Deputy Director with budgeting, expense tracking, and financial reporting. Coordinate with the accounting team to maintain accurate financial records and ensure that all receipts and expenses are properly documented and submitted on time.
    • Manage operational contracts, leases, and vendor agreements including documentations such as W9s, direct deposit forms, etc. and ensure timely submission for payment processing.
    • Ensure that organizational processes align with strategic goals and comply with all relevant regulations.
    • Manage and oversee the distribution of incoming and outgoing mail, including ensuring time-sensitive materials are prioritized.
    • Additional duties as required.

    Qualifications:

    • Minimum of 5+ year experience in operations or office management in a nonprofit environment.
    • Proven ability to manage multiple projects and deadlines with exceptional attention to detail.
    • Strong financial acumen, with experience in budgeting, bookkeeping, and financial systems. Knowledge of nonprofit GAAP compliance, preferred.
    • Demonstrated knowledge of HR related matters such as benefits administration, payroll management, and employment compliance.
    • Strong problem-solving skills and a solution-oriented mindset.
    • Proficiency with office software (Google Workspace, Square Space, Monday.com, Canva, Quickbooks, and other project management tools).
    • Exceptional communication and interpersonal abilities, with a proven capacity to collaborate effectively across all levels of the organization including external partners.
    • Familiarity with social justice or grassroots advocacy organizations, preferred.

    Benefits and Compensation:

    $75,000-$85,000/yr
