    Job Summary

    Spirit Rock Meditation Center is seeking a compassionate, highly detail-oriented, and organized Human Resources Assistant to join our People and Culture team. This role provides critical support to the Human Resources (HR) department, helping to ensure smooth daily operations, effective communication, and alignment with Spirit Rock’s core values. The HR Assistant will support administrative processes, employee engagement activities, recruitment, and onboarding, contributing to an inclusive, mindful, and supportive workplace culture.

    Key Responsibilities

    HR Administration

    • Maintain and update employee records, ensuring accuracy and confidentiality.
    • Assist with benefits administration, including invoice reconciliation and answering general inquiries.
    • Manage HR-related documents, including processing employment verification and compliance paperwork, and departmental mail.
    • Responsible for maintaining and updating department calendars
    • Provide administrative support to the Director and Manager of People and Culture

    Recruitment and Onboarding

    • Set up hiring campaigns, post job openings, screen applicants, schedule and participate in interviews, and support hiring managers through recruitment.
    • Coordinate onboarding communications, scheduling, and activities, ensuring a smooth and welcoming experience for new hires.
    • Create, prepare, and track new hire documentation and orientation materials.

    Employee Support and Engagement

    • Act as the first point of contact for HR inquiries, providing accurate information and guiding staff to appropriate resources.
    • Support employee engagement initiatives and wellness programs aligned with Spirit Rock’s mission and values.
    • Assist with organizing and supporting Diversity, Equity, and Inclusion (DEI) activities in alignment with Spirit Rock’s commitment to a mindful and inclusive workplace.
    • Support and coordinate employee celebrations and training.

    Compliance and Reporting

    • Maintain compliance with federal, state, and local employment laws and regulations.
    • Assist in preparing reports and documentation for audits, surveys, and required filings.
    • Monitor and ensure staff completion of required training.

    Qualifications

    Experience:

    • Minimum of 1-2 years of experience in HR administration or a similar role; nonprofit experience is a plus.

    Skills & Competencies:

    • Strong organizational skills with the ability to manage multiple priorities.
    • Highly detail-oriented
    • Excellent interpersonal and communication skills, both written and verbal.
    • High level of discretion, confidentiality, and emotional intelligence.
    • Proficiency in Microsoft Office Suite; Google suite, Asana, and experience with HRIS and LMS software.
    • An understanding of and commitment to diversity, equity, and inclusion principles.
    • Ability to support a culture of mindfulness, respect, and open communication within the organization.

    Physical Demands:

    • The role involves working at a desk, using a computer, and performing tasks that require prolonged periods of sitting and some repetitive motions.
    • Occasional lifting and carrying files, office supplies, or materials that may weigh up to 5 -15 pounds.
    • The ability to read and review documents which may involve reading and reviewing detailed information for extended periods on screens and on paper.
