    Overview

    The National Association of Medicaid Directors (NAMD) seeks a Senior Manager of Events.

    The Senior Manager of Events will be a full-time position responsible for the strategic planning and execution of NAMD’s in-person events, which include but may not be limited to NAMD’s annual membership meeting, fall conference, annual board retreat, and grant- or federally funded events. Reporting to the Deputy Director for Operations, this individual will play a critical role in ensuring the success of these events, with the fall conference accounting for over 50% of NAMD’s annual revenue.

    Position Description

    The Senior Manager of Events will be a key member of a small, highly collaborative team that supports Medicaid leaders through connection and programmatic assistance to Medicaid leaders in all 50 states, D.C. and the territories. This role will focus on designing and project managing NAMD’s in-person meetings. This will include working closely with NAMD colleagues who are experts in Medicaid to develop high-value programming (i.e., creating agendas, managing plenary and breakout sessions, designing social events, organizing networking opportunities, managing event sponsors, etc.).

    This person will help to ensure that NAMD’s strategic priorities align with meeting content on key Medicaid program and policies, emerging trends, and the Medicaid directors’ needs. This individual will play a lead role in strategic planning and execution of all events and will report to the Deputy Director of Operations and will work closely with NAMD Leadership.

    Position Responsibilities

    The Senior Manager of Events will be an experienced leader in the planning and execution of events. This individual will be responsible for:

    Strategic Event Planning and Execution

    • Partner with NAMD’s leadership and policy staff to align event programming with strategic priorities, emerging Medicaid trends, and member needs.
    • Develop and manage the annual events calendar, including selecting event locations and managing hotel contracts in collaboration with the Deputy Director and event contractors.
    • Oversee the planning process for developing meeting agendas, working with content experts to ensure relevant and high-value programming.

    Project and Budget Management

    • Lead all aspects of event project management, including timelines, deliverables, and stakeholder coordination.
    • Develop and maintain event budgets, providing regular updates to the Deputy Director for Operations.
    • Manage event-related contracts, including vendor agreements and necessary permits, with support from the Deputy Director as needed.

    Event Operations and Logistics

    • Coordinate all logistical aspects of in-person events, including participant communications, travel arrangements, and on-site support with assistance from the Operations & Database Coordinator.
    • Oversee sponsor engagement, including managing inquiries, designing sponsor-member interactions, and ensuring deliverables are met.
    • Design and manage the registration process, including addressing participant questions and ensuring a seamless experience.
    • Utilize HubSpot to manage and track registrant engagement and support data-driven decision-making.
    • Evaluate event success through post-event assessments and implement improvements based on feedback.

    Team Collaboration and Supervision

    • Supervise staff responsible for managing NAMD’s CRM (HubSpot) and oversee their role in supporting data tracking and reporting for events.
    • Collaborate with the Communications team to develop and execute marketing and outreach strategies for events.
    • Manage relationships with external event contractors, ensuring effective collaboration and high-quality execution.

    Minimum Qualifications

    • At least 6-8 years of proven experience in planning and executing complex, large-scale in-person events, ideally within a nonprofit or association environment.
    • Strong project management skills with the ability to manage multiple priorities and deadlines.
    • Experience managing event budgets and working with external vendors and contractors.
    • Excellent written and verbal communication skills, with the ability to engage diverse stakeholders.
    • Familiarity with the Medicaid program and/or experience working within an association or policy-focused organization.
    • Proficiency with event management software and CRM platforms (experience with HubSpot preferred).
    • Supervisory experience is a plus, particularly in managing both staff and contractors.
