    Donor and Grant Stewardship Manager January 2025

    Summary

    The purpose of the Donor and Grant Stewardship Manager position is to ensure exemplary stewardship of corporate, foundation and individual donors, working in support of frontline development staff and working directly with donors as assigned. The Manager will work closely with colleagues at SUNY WCC and within the WCC Foundation to ensure that grants are executed in accordance with grant agreements. Additional activities will include prospect research, grant-writing, donor communications and cultivation/stewardship event planning, as assigned.

    The Westchester Community College Foundation was established in 1969 as a separate 501(c)(3) nonprofit charitable organization to meet College and student needs that are not met by public funds. Thanks to community support, the Foundation annually provides $2 million to $3 million in programmatic support and nearly $3 million in scholarships and emergency aid for students seeking academic degrees and workforce professional credentials.

    Responsibilities include:

    Assist the Senior Director of Development with Project grants

    (Corporate, Foundation, major donors):

    • Manage overall project administration process, including
      • Create and maintain project grid for each funded project, listing funders, program leads, grant period, and key deliverables.
      • Maintain a comprehensive schedule of grant proposal renewal and reporting deadlines.
    • Coordination with project leads
      • Manage grant agreement approval process, including logging agreements, securing approval of terms from project leads and Foundation CFO, and ensuring agreement is returned to donor promptly.
      • Manage Internal Grant agreement process, with details of grant finances and obligations, between project leads and WCC Foundation
      • Coordinate with WCC Foundation CFO on financial administration
      • Regularly monitor project progress according to deliverables and goals; Reconcile project funds each semester.
    • Manage reporting and application deadlines
      • Compile and coordinate ancillary documents and information needed for grant applications.
      • Compile draft grant reports and ensure accurate and timely submission
      • Prepare correspondence for funders, including any requests for extension of grant periods as well as any timely updates.
    • Coordinate grant publicity
      • Work with Marketing to ensure proper logo use and funder approvals
      • Coordinate press releases and social media posts
    • Prospect research
      • Assist with corporate and foundation prospect research and grant-writing as directed.

    Assist the Director of Development/Annual Giving with Stewardship Activities

    (Individual and scholarship donors):

    • Maintain and manage a schedule of on-going stewardship “touches” to top donors
      • Develop and maintain process for extending strategic and regular invitations to donors and prospects for meetings and cultivation events.
      • Coordinate bi-monthly Foundation newsletter and other targeted communications
      • Create events and other opportunities for donors to observe and learn about SUNY WCC programs.
      • Coordinate and compile appropriate lists for invitations, special communications, and other stewardship activities
      • Coordinate “President’s Council” (upper level giving) events, activities, and communications
      • Coordinate assignment of Thank You communications (emails/calls), completions, and notes
    • Assist with and coordinate scholarship reporting and appeals
      • Develop annual reports for each scholarship fund donor, including student information and thank letters
      • Create and manage annual endowment donor reports
      • Arrange opportunities for donors and student recipients to meet, including lunches, receptions, and student attendance at events

    Additional responsibilities:

    • Field inquiries from donors about their gifts, acknowledgments, and gift documentation and demonstrate exemplary customer service in all exchanges.
    • Proactively support the stewardship activities of the development team by assisting frontline development staff in establishing and coordinating individualized stewardship plans for donors in their portfolios.
    • Update the constituency/recognition categories and maintain current organizational contacts, etc. in the database.
    • Participate in special projects and perform other duties as assigned.

    Necessary Qualifications and Characteristics:

    • Excellent organizational, planning, interpersonal, verbal, and written communication skills.
    • Database experience required; donor database experience strongly preferred; Raiser’s Edge experience preferred. Proficiency with Microsoft Office.
    • Self-motivated, detail-oriented, goal-driven, results-oriented approach. Ability to work well under pressure and deadlines.
    • Ability to develop strong relationships with diverse constituencies and create positive community connections; Experience working with high-level volunteers and donors.
    • Aptitude for independent and cooperative decision making as well as proactive creative and strategic thinking and problem-solving; Collaborative, cooperative and supportive team member.
    • Bachelor’s Degree with 3-5 years of development experience.

    Salary Range: The starting salary for this position is $85,505 and the range for the position is $85,505 to $113,487.
