    JOB TITLE: Operations Assistant

    REPORTS TO: Director of Finance and Administration

    STATUS: Non-Exempt; Full Time

    DATE: April 14, 2025

    THE ORGANIZATION

    The Learning Rights Law Center (LRLC) is a non-profit organization that provides direct legal services to students who are not receiving an equitable public education, runs an Education Rights Clinic for broad legal consultation support, and engages in a variety of community training and outreach efforts to further the organization’s mission and goals. LRLC is located near downtown Los Angeles, but is presently functioning in a hybrid capacity. This position will require in-person work up to 3 days/week. The organization currently focuses its efforts on the most vulnerable and low-income K-12 students in Los Angeles, Orange, Riverside, San Bernardino and Ventura Counties.

    MISSION

    Learning Rights Law Center fights to achieve education equity for underserved families in Los Angeles and surrounding counties. We provide free legal representation, advice, advocacy and training to families and communities whose children, as a consequence of disability or discrimination, have been denied equal access to a public education.

    POSITION SUMMARY

    The Operations Assistant provides general support to the Administrative team, working closely with the Office Manager and assisting with administration of finance, human resources (HR), development, and information technology (IT).

    This position is ideal for a resourceful, versatile systems thinker who learns quickly, thrives on new challenges, can complete tasks consistently and reliably, and isn’t afraid to manage up. This role has tremendous opportunity for growth.

    The starting rate for this role is $20.17 an hour.

    MINIMUM QUALIFICATIONS:

    • Excellent verbal and written communication, time management, organizational, and computer skills, with strong attention to detail
    • Strong interpersonal skills with a demonstrated ability to work independently or as part of team
    • Self-motivated and resourceful, with the ability to learn quickly and independently and exercise good judgement
    • Ability to multitask, anticipate potential issues, tackle problems as they arise, and work with deadlines
    • Ability to handle confidential information with tact and discretion
    • Experience with Microsoft products, especially SharePoint, Outlook, Excel, and Word
    • Ability to quickly learn new software programs
    • Basic general tech fluency
    • Bachelor’s or Associate’s degree or at least one year of relevant professional experience

    PREFERRED QUALIFICATIONS:

    • Previous experience in an administrative support role
    • Experience with data manipulation and analysis
    • Experience with any of the following:
      • GAAP
      • QuickBooks Online
      • BILL Payables & Receivables (formerly Bill.com)
      • BILL Spend & Expense (formerly Divvy)
      • Using or maintaining CRM systems/databases such as DonorPerfect or Salesforce
      • Labor and employment law in Los Angeles and California
      • Basic hardware/software troubleshooting
      • Network equipment/infrastructure
      • Website administration
      • Basic cybersecurity
      • Asset management tools
    • Ability to relate easily and respectfully with clients from marginalized communities
    • Bilingual English and Spanish

    JOB RESPONSIBILITIES

    General

    • Provide general administrative support, including filing, data entry, calendaring, notetaking, and drafting/proofreading documents and correspondence
    • Assist with the development and maintenance of process documentation
    • Respect confidentiality of organization, staff, and clients

    Finance

    • Handle all bookkeeping data entry and filing, including semimonthly deposits
    • Process accounts payable and receivable and manage associated documentation
    • Maintain vendor files, field vendor inquiries, and collect/distribute vendor tax documents
    • Assist as needed with annual audit

    Human Resources

    • Assist with administration of HR portal, liaising with portal support and LRLC staff as necessary
    • Administer payroll – review timesheets and keep reporting/approving staff on schedule; run semimonthly payroll, maintain time and payroll records, and prepare payroll reports
    • Coordinate benefit enrollments, changes, and terminations, including 403(b) and COBRA, liaising with external contacts as appropriate
    • Assist with employment verifications, including state requests regarding unemployment and tax information
    • Support development and posting of job listings, offer letters, and other documents
    • Onboard new employees – generate personnel files, set up workstations, coordinate phone/software setup, and introduce new employees to administrative and operating policies and key internal guidelines
    • Offboard departing employees – assist with departure process, collect organization property, and facilitate transitions
    • Assist with processing workers compensation claims
    • Maintain internal HR files with a high degree of discretion

    Information Technology

    • Maintain, troubleshoot, and replace services and equipment as necessary; provide first-line tech support to staff, including copier support and basic on-site computer support
    • Maintain equipment/maintenance/licensing logs
    • Lead staff by example in the adoption and use of programs/tools
    • Liaise with external managed services vendor and ensure service delivery and appropriate billing

    Development

    • Assist with social media accounts and website
    • Assist with preparation and distribution of development correspondence
    • Assist with fundraising events
    • Assist with other tasks as needed

    General Operations

    • Provide coverage for Office Manager
    • Maintain business records
    • Organize and support virtual and in-person staff gatherings, including monthly staff meetings
    • Assist with other tasks as needed
