    Full-time Administrative and Operations Manager

    Reports to: Director of Organizational Process and Efficacy

    Supervises: n/a

    Full-time: 37.5 hours per week, exempt

    Salary: $70,000-$75,000 depending on experience, and generous benefits including health, dental, vision, 401K

    POSITION SUMMARY

    The Administrative and Operations Manager manages day-to-day operations by providing administrative and technical support to the managerial and program staff throughout the organization to help achieve the organization’s mission.

    PRIMARY RESPONSIBILITIES

    Supporting basic office operational needs:

    • Troubleshoot problems and coordinate maintenance
    • Liaise with IT and other vendors
    • Liaise with Property Manager
    • Process mail and route accordingly
    • Order supplies and maintain equipment/supplies

    Supporting events, staff retreats, etc.:

    • Find and reserve venues
    • Arrange for food
    • Arrange for equipment as needed

    Supporting Board of Directors:

    • Liaise with board and board committees
    • Provide logistical support for board meetings
    • Represent organization as staff before County Executive’s Office of Montgomery County’s Boards, Committees, and Commissions

    Fulfilling compliance requirements:

    • Liaise with insurance companies
    • Ensure compliance with SDAT, tax filings, SAM.gov etc.

    Other duties to include:

    • Reconcile credit card monthly
    • Support proposal writing upon request
    • Onboard new staff
    • Draft thank you letters to funders
    • And other duties as assigned

    Working Conditions:

    • Hybrid: In Rockville office 2-3 times per week/1-2 days may be remote as negotiated with supervisor.
    • Occasional local travel is required.
    • Though there is minimal lifting involved, the position may involve moving mail, boxes or supply materials.

    REQUIREMENTS FOR THE POSITION

    Skills and Abilities:

    • MS Office and database software experience with demonstrated proficiency in managing database systems and adapting to new technologies
    • Basic financial management skills (e.g. understand and track budgets, reconcile expense accounts)
    • Familiarity with Montgomery County government and the nonprofit sector
    • Familiarity with nonprofit board procedures and Robert’s Rules of Order
    • 4-6 years experience working in an office
    • Commitment to the mission and values of the Collaboration Council
    • Excellent interpersonal skills including flexibility, collaboration, and transparent, respectful communication
    • Excellent written and oral communication skills
    • Ability to prioritize assignments and manage multiple assignments; highly organized and ability to problem solve independently
