    Non-exempt; Regular; Part Time (18.75 hrs).

    SALARY RANGE:

    $20.64– $30.22 hourly (Band 3)

    We base salary and position offers on experience and an internal equity analysis.

    SPACE (Strategic Partnerships and Community Engagement) Unit

    SPACE provide strategic interactions between Disability Rights California (DRC), the people and agencies in the local and extended community through conversations relative to the mission, vision, and strategic roadmap of DRC. The outcomes of that engagement will be to forge lasting relationships with DRC. We believe that conversations on community engagement will create the public knowledge that DRC needs to facilitate change in the community and root our decisions in what matters most to people.

    PURPOSE OF THE JOB

    Provides administrative and clerical assistance to SPACE Unit staff members and supporting the board Community Engagement Committee.

    JOB RESPONSIBILITIES

    Essential functions are the job responsibilities an employee must be able to perform, with or without reasonable accommodation. Administrative Assistant 2 – SPACE Unit essential functions include:

    • Employ discretion and protect sensitive and confidential information received and generated;
    • Coordinate regular internal and external meetings, video conference calls, working groups, workshops and events involving complex calendars. This includes reserving locations, travel and accommodation arrangement, expense tracking and receipt organization, meeting planning, sending meeting invitations, managing attendee lists, managing the group meeting presenter schedule, sending weekly meeting reminders, following up to ensure last minute participation, preparing and disseminating meeting agendas (with assistance), providing presenters with logistical instructions, etc.;
    • Support Board of Directors’ Community Engagement Committee and attend Committee meetings and take minutes;
    • Initiate communications, draft correspondences, help proofread presentations, organize documents, and ensure materials are ready ahead of time;
    • Perform office logistical duties, including inventory management/ordering, setting up new vendors via Microix, creating POs, ensuring correct vendor quotes for suppliers, handling all credit card requests, office preparation for client visits and meetings;
    • Coordinate accommodation request for Braille, interpreter, transcribing, translator, document translations or any disability related accommodation request as needed for in-house or externally;
    • Support the SPACE Unit Staff for all event planning both in-person and virtual via ZOOM, Microsoft Teams, Skype or any other video conferencing software;
    • Prepare all SPACE publications and receiving/sending correspondence via email or DocuSign.

    Requirements

    MINIMUM QUALIFICATIONS

    EDUCATION AND EXPERIENCE:

    (Applicants MUST meet EACH of the minimum qualifications to be considered for an interview.)

    High school diploma or general education degree (GED); plus 1-2 years related experience and/or training; plus

    • One year of progressively responsible administrative or secretarial experience;
    • Proficient using Microsoft Office Suite such as Microsoft Word and Excel.
    • Excellent written and oral communications, including diplomacy/kindness, explaining ‘the why’, and concisely structured emails;
    • Intrinsic organization and time management skills; is a fast-thinker who can quickly piece together complex solutions;
    • Tech-savvy individual who is familiar with ZOOM, Microsoft Teams, Skype, social media, etc.;

    DESIRABLE QUALIFICATIONS

    (Applicants DO NOT have to meet any of the Desirable Qualifications to be considered for an interview.)

    Associate's (AA) degree in a related field from two-year college or technical school; or equivalent combination of experience and/or training.

    • Able to communicate fluently and write effectively in Spanish or Asian language; or able to communicate using American Sign Language.
    • Specialized coursework or training in secretarial or business administration.
    • A working knowledge of the laws, rights, and services pertaining to people with disabilities in California.
    • Experience working with and/or sensitivity to persons with disabilities and/or experience working with and/or sensitivity to persons from multi-ethnic communities.
    • Experience working for non-profit and/or social services organizations.
    • Experience in the disability rights movement and/or extensive contacts in the disability community.
    • Experience with and/or extensive contacts in ethnic or language distinct communities.
    • Familiarity and/or extensive contacts with one or more of the following: homelessness, criminal justice, substance abuse or Gay/Lesbian/Bi-Sexual/ Transgender/Intersex (GLBTI) communities.
    • Life experience as a person with a disability OR direct experience as a caregiver of a family member with a disability.

    TRAVEL REQUIREMENTS

    Ability to travel infrequently for activities, such as training or outreach activities, up to 10% of the time.

    The following describes general working conditions and requirements of the job, which can be performed with or without disability-related reasonable accommodations.

    • Duties are performed in office and home environments and the field in a wide range of settings, including courthouses, congregate care or other institutional settings, and community agencies.
    • Duties frequently require sitting and communicating with others.
    • Must be able to transport oneself to work-related meetings, hearings, facilities, and settings where clients live.
