    Description

    POSITION OVERVIEW:

    The Columbia River Steamship Operators’ Association (CRSOA) is seeking an experienced and detail-oriented professional to support its mission of promoting safe, reliable, and cost-effective practices within the maritime industry.

    This role combines executive-level administrative support with responsibilities in membership services, events coordination, and communications. The successful candidate will demonstrate strong organizational skills, adaptability, and the ability to manage priorities independently within a fast-paced environment.

    KEY RESPONSIBILITIES:

    Executive Support:

    • Provide administrative support to the Executive Director, including managing schedules, correspondence, and member interactions.
    • Prepare agendas, materials, and meeting minutes for board meetings and other association events.
    • Maintain association records and ensure compliance with established policies and procedures.
    • Attend industry meetings and take notes when the Executive Director is not available.

    Membership Services:

    • Serve as the primary point of contact for members, addressing inquiries and fostering engagement.
    • Manage and maintain accurate membership records and databases.
    • Develop and implement strategies for recruiting, retaining, and onboarding members.
    • Coordinate membership renewal campaigns and assist in promoting member benefits.

    Event Coordination:

    • Plan, coordinate, and execute industry luncheons, meetings, and other association events.
    • Oversee event logistics, including venue selection, communications, and on-site support.
    • Collaborate with vendors, venues, and other stakeholders to meet event goals.

    Communications and Marketing:

    • Manage the association’s social media accounts, ensuring content aligns with organizational goals.
    • Oversee website updates and ensure timely, accurate, and relevant information is available.
    • Assist in developing newsletters, announcements, marketing materials, and outreach campaigns.
    • Support video production and other promotional initiatives, working with consultants as needed.

    WORKING CONDITIONS:

    This is a full-time, hourly, primarily remote position, with required in-person attendance at meetings and events within the Lower Columbia River region, primarily in the Portland-Vancouver metro area. Access to reliable transportation is required to attend remote functions and meetings.

    Occasional evening or weekend commitments may be necessary, with flexible scheduling and comp time provided. Regular availability during standard business hours is essential to support members and association operations. Adherence to a professional dress code is required.

    QUALIFICATIONS:

    • Bachelor’s degree preferred, or equivalent professional experience.
    • A minimum of 3-5 years of experience in administrative roles, event planning, or membership services.
    • Proficiency in Microsoft Office Suite (including Publisher)
    • Proficiency with Adobe Creative Suite tools (Illustrator, InDesign, Photoshop), preferred
    • Strong written and verbal communication skills with proven attention to detail.
    • Ability to manage website updates and social media platforms effectively.
    • Ability to generate reports and special project information as directed.
    • Maritime industry knowledge is preferred but not required.

    LICENSES AND CERTIFICATIONS:

    • Valid Oregon or Washington driver’s license (must be obtained within 30 days of hire).
    • Transportation Worker Identity Card (TWIC) (must be obtained within 30 days of hire).
