Volunteer Events Assistant

Are you passionate about Events and have a good eye for detail? Do you work well in a team? Friends of the British Overseas Territories is a bespoke charity run by volunteers. We now have an exciting volunteer role to join our hard-working and dedicated events team. You will be responsible for attending events in person with the team ensuring a smooth event takes place from conception through to completion. The Head of Events will support you in delivering an exciting events schedule as we grow our reach across the United Kingdom and with online events we wish to grow our presence within the Overseas Territories.

We are particularly interested in volunteers who are based in or near to London who can travel to our events in person.

Main Duties:

• Attending our charity events in person supporting with guest list, running our shop or setting up the room
• researching suitable speakers to identify opportunities for events;
• producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets) with guidance from the Head of Events
• securing and booking a suitable venue or location;
• coordinating venue management, caterers, stand designers, contractors and equipment hire;
• planning room layouts and the entertainment programme, scheduling workshops and demonstrations;
• coordinating volunteer requirements and volunteer briefings;
• preparing delegate packs and papers;
• liaising with marketing and PR colleagues to promote the event;
• coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly;
• overseeing the dismantling and removal of the event and clearing the venue efficiently;
