    Accounting Coordinator

    Reports to: VP, Finance and Administration

    Classification: Exempt

    Salary Range: $55,000 – $70,000

    Position Summary

    The Accounting Coordinator is responsible for providing essential financial and accounting support to IEDC, with a primary focus on managing the payables and verification of invoices related to the Economic Recovery Corps, a federal grant awarded through the EDA, as well as supporting day-to-day accounting operations. This role will be split evenly between working on the federal grant and performing standard accounting duties to ensure accurate and timely financial reporting. The ideal candidate will have strong attention to detail, a solid understanding of accounting processes, and experience with federal grant requirements and compliance.

    Areas of Responsibility

    Federal Grant Support (50% of Time)

    • Oversee the payables related to the federal grant, ensuring that all invoices are properly processed in accordance with grant guidelines and organizational policies.
    • Review and verify the accuracy and completeness of fellow invoice and expense submissions, ensuring they meet all federal and nonprofit standards.
    • Maintain documentation related to the grant, including receipts, invoices, and other necessary financial records.
    • Communicate directly with program fellows, vendors, and other stakeholders to resolve discrepancies or issues related to grant expenditures.
    • Ensure timely and accurate reporting of financial data for the federal grant, working closely with the VP, Finance & Admin to comply with federal regulations and organizational requirements.
    • Assist with the preparation of financial reports and statements related to the grant, including budget-to-actuals and any necessary documentation for audits or grant reviews.
    • Stay up-to-date on relevant federal grant compliance regulations and accounting practices to ensure full adherence.

    General Accounting Activities (50% of Time)

    • Process accounts payable and receivable, ensuring all transactions are properly documented and coded.
    • Reconcile bank and credit card statements, ensuring all financial data is accurate and complete.
    • Assist in the preparation of monthly, quarterly, and annual financial reports for internal stakeholders and external auditors.
    • Maintain general ledger entries and ensure accurate posting of financial transactions.
    • Respond to inquiries related to accounting records, including resolving discrepancies and providing support to other departments as needed.
    • Help prepare financial statements for internal and external reporting and compliance purposes.

    Required Knowledge, Skills, and Abilities

    • Bachelor's degree in Accounting, Finance, or related field; or equivalent work experience.
    • Minimum of 2-3 years of accounting experience, preferably in a nonprofit or grant-funded environment.
    • Strong knowledge of federal grant compliance, regulations, and reporting requirements.
    • Understanding of 1099 compliance and independent contractor classifications.
    • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and advanced Excel skills. Experience with Expensify is a plus.
    • Ability to analyze and interpret financial data, with a keen eye for detail.
    • Excellent organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
    • Excellent written and verbal communication skills, with the ability to interact effectively and diplomatically with staff, vendors, and stakeholders.
    • Knowledge of tax preparation and estimated taxes for independent contractors is a plus.
    • Experience in accounts payable, accounts receivable, and general ledger accounting with a specific focus on handling diverse vendor and consultant relationships.
    • High level of customer service skills, with the ability to manage and prioritize diverse needs and requests from staff, vendors, and contractors.
    • Experience with expense tracking, categorization of contractor-related expenses, and invoicing systems.
    • Familiarity with nonprofit accounting standards and the ability to work in a mission-driven environment.
    • Ability to work independently, as well as part of a collaborative team.
    • High level of integrity and ability to maintain confidentiality in all financial matters.

    Job Location

    This position is eligible for remote work within the United States. Candidates will be required to travel, as required, for meetings, conferences, or team events. Candidates within commuting distance of Washington, DC are considered local and have the option to work from IEDC’s offices. This position is not eligible for visa sponsorship.
