    Position Title: Coordinator, Programs & Procurement

    Reports to: Manager, Fundraising & Programs

    Location: Washington, DC. Note: This is a hybrid role with an expectation to be on-site at least two (2) days a week.

    Position Summary

    The Coordinator, Programs & Procurement will support three key workstreams at DC Ed Fund: managing a portfolio of grants, overseeing event logistics, and supporting internal operations. A major focus of this role will be on procurement, as it plays a crucial part in ensuring that grant-funded programs are executed effectively. This role is ideal for someone with strong project management skills, who pays keen attention to detail, and has the ability to balance multiple priorities while contributing to the overall success of DC Ed Fund. Below is an overview of the main responsibilities:

    Core Role & Responsibilities

    1. Grant Management & Procurement (70%)
    • Lead and manage procurement and disbursement activities to ensure the successful implementation of grant programs, including managing vendor relationships. This includes updating grant budgets daily with purchases made and ensuring purchases are in line with the grant parameters.
    • Manage service agreements with consultants and vendors to support grant programs and initiatives, ensuring compliance with organizational procurement policies.
    • Oversee all aspects of the grant cycle, including supporting writing grant applications, developing and tracking budgets, and reporting.
    • Conduct monthly internal audits of grant budgets with team members to lift up any issues and ensure alignment in processes across the team.
    • Liaise with DCPS teams to ensure achievement of grant milestones, successful program implementation, efficient disbursement of funds, and timely reporting.
    1. Event Management (15%)
      • Lead the planning, coordination, and execution of DC Ed Fund's annual Standing Ovation for DC Public Schools, an annual event celebrating exceptional DCPS educators and staff members.
      • Work closely with internal teams, external vendors, and partners to manage all event logistics, including venue selection, attendee communications, and day-of coordination,
      • Ensure that all event details are executed seamlessly, requiring either event experience or a strong attention to detail and project management capabilities.
    1. Internal Operations and Finance Support (15%)
      • Assist with administrative responsibilities, such as scheduling, meeting logistics, and maintaining program records.
      • Support with writing quarterly Ed Fund newsletters and social media
    • Collaborate with the Managing Director and team to improve internal procedures and optimize operational efficiency across programs.
    • Reconcile procurement transactions on a monthly cadence.

    Requirements

    • Bachelor’s degree or equivalent experience.
    • Approximately 2-4 years of professional experience, particularly in project management, procurement, or operations.
    • Strong organizational and project management skills, with the ability to manage multiple priorities.
    • Excellent written and verbal communication skills, with a keen attention to detail.
    • Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
    • Proven ability to work both independently and collaboratively in a fast-paced environment with shifting priorities.
    • High level of initiative, responsibility, and motivation.
    • Strong interpersonal skills and the ability to work effectively with diverse teams.

    Preferred Skills and Experience

      • Experience in nonprofit program management or procurement.
      • Familiarity with grant writing, reporting, and procurement processes.
      • Strong analytic, strategic, and planning skills.
      • Ability to work with a wide range of stakeholders, including internal teams, DCPS personnel, and external partners.
    • Ability to thrive in a dynamic, fast-paced environment with evolving priorities.

    Salary and Benefits

    • The starting base salary range anticipated for this position is $68,000 to $76,000, with the potential for an annual performance-based bonus.
