    Job Title: ​​​​Accounts Payable Specialist

    Reports to: ​Accounting Administrator

    Office Location: Renton, WA

    Worksite Designation: ​​Hybrid​​

    Live in the Puget Sound Region of the State of Washington with a reasonable commute to Renton, WA. Approximately 50%—75% of the work is telework, and 50%—25% is in-person at our office, off-site, or partner locations. Must come into the office on an as-needed basis.

    Organizational Overview:

    The SEIU Healthcare 1199NW Multi-Employer Training Fund (Training Fund) is a non-profit, labor/management partnership including eight major healthcare employers and the largest healthcare union in Washington State. The Training Fund was formed in 2008 and is a statewide program that addresses the workforce needs of participating employers and supports the career, knowledge, and skill aspirations of SEIU Healthcare 1199NW members. The Training Fund is the sponsor of the state-registered Health Care Apprenticeship Consortium (HCAC) and of the Virtual Healthcare Institute (VHI) serving a range of regional employers, unions, union members, and student candidates.

    Position Overview:

    An Accounts Payable Specialist is responsible for maintaining financial records, processing Accounts Payable, and recording a wide range of financial transactions. Their duties include offering administrative and bookkeeping assistance to the Accounting Administrator and confirming the accuracy of accounting database information. Under the supervision of the Accounting Administrator, the individual in this position will perform a variety of procedures related to the processing, entry and verification of check reimbursements.

    Essential Job Functions:

    Incumbent must have the skills, abilities and judgment to perform the following essential job duties and responsibilities, with or without reasonable accommodation:

    • Process Accounts Payable daily
    • Understanding of GAAP
    • Compile and check source documents, such as invoices and purchase orders, for completeness and accuracy
    • File completed check reimbursement forms
    • Assist with quality control audits of data control materials and processes
    • Work with various vendors for verification of reimbursements and invoices
    • Make various accounting data entries in Financial Edge and Sales Force software
    • Maintain various Training Fund tuition obligations / accrual records
    • Maintain grant-related fiscal documents
    • Process grant-related invoices with appropriate back up documentation
    • Conduct regular review and audit of staff travel reimbursements
    • Work with Training Fund members on benefit repayments
    • Perform various reconciliations, such as credit card statements and insurance statements
    • Travel to the bank and post office as needed
    • Other projects as assigned by the Accounting Administrator or Director of Finance

    Required Skills/Abilities:

    • Proficiency with or the ability to quickly learn the organization’s databases, including, but not limited to Salesforce, Financial Edge, Monday.com, Sharepoint, etc.
    • Ability to work with integrity, credibility, professionalism and confidentiality
    • Experience working with diverse populations and addressing participants’ unique needs
    • Ability to follow privacy policies and respect for confidential information

    Desired Skills and Experience:

    • Experience working in a non-profit environment is a plus
    • Bilingual skills preferred

    Required Items:

    • Successful completion of background check is required
    • Valid Washington State Driver’s License and access to a reliable insured vehicle
    • Needs to live in or move to the State of Washington in assigned region.
    • COVID-19 complete vaccination, shot documentation required or proof of meeting state or federal law, including medical disability under the American with Disabilities Act (ADA) guidelines, for not vaccinating
    • Candidates will be evaluated on their lived and learned experience, professional background, volunteer experience and direct and transferable skills.

    Educational Requirements:

    • Certificate of Accountancy, Certificate of Bookkeeping, AA in Accounting or equivalent is preferred
    • High School Diploma, or GED Certificate AND two years of experience as an Accounts Payable Specialist, or equivalent

    Physical Requirements:

    • Prolonged periods of sitting at a desk and working on a computer
    • Must be able to lift 15 pounds at times
    • Must be able to access and navigate the TF’s facilities, partner organizations, and classroom locations

    Work Environment:

    This position provides services primarily in Washington State remotely and in person. Training Fund educational operations include limited program work in Oregon and Alaska. Note: COVID restrictions may require a higher level of remote work.
