    The Membership Outreach and Communications Coordinator is part of the Congregational Life team and serves as a member of the staff of Wayne Presbyterian Church, an approximately 1200-member congregation located in Wayne, Pennsylvania, a western suburb of Philadelphia. The Church has served the surrounding communities for over 150 years with a commitment to worship, beautiful music, and strong educational, mission outreach and youth programs. The Coordinator is responsible for supporting activities related to growing and serving the church congregation including assistance with Sunday morning hospitality, producing church bulletins, maintaining the church database, coordinating Children’s and Youth Ministries administration, planning and managing membership and fellowship events, and supporting facilities management.

    This person will be a positive, proactive, high-energy individual and enjoy working in a fast-paced collaborative environment. They will provide a warm and welcoming presence for all visitors and members of the congregation. They will work closely with the Pastors and the church’s other operations staff to facilitate the church’s smooth and efficient functioning.

    Hours:

    This is a full-time position working 5 days per week including Sundays and some evenings. Flexibility to work remotely one day a week.

    Responsibilities:

    Sunday Hospitality for Welcoming Experience

    • Maintain Sunday volunteer contact lists, create schedules, send reminder emails. Sunday volunteers include Greeters and Andrew Ministers who help with new member outreach.
    • Provide name tags, instructions, and intake forms for volunteers each Sunday.
    • Manage and track follow-up on any questions or concerns from visitors or members.
    • Assist in training and recruiting Sunday morning volunteers.

    Church Bulletins

    • Collaborate with the music director, pastors, program leaders, and liturgists to compile content for the weekly worship bulletin and funeral bulletins.
    • Assist with proofreading the bulletin after entering data in the template designed by Events & Publications Coordinator.
    • Oversee printing of all bulletins.

    Church Database

    • Collect visitor and member attendance data from pew pads and online submission forms, and input data into Shelby database.
    • Assist with managing records in the Shelby database for visitors and members including children and youth.
    • Prepare reports related to visitor and member attendance on Sundays and other events.

    Children’s and Youth Ministry Administration

    • Assist with emails and mailings including weekly emails to students going through confirmation and their parents.
    • Track attendance and registrations for events such as Vacation Bible School, retreats, and special events.
    • Assist with communications and other initiatives related to outreach to the Wayne Presbyterian Church Nursery School.

    Membership & Community Fellowship Support

    • Work with Committee chairs and Events & Publications Coordinator to plan and implement hospitality and fellowship events and other initiatives to increase engagement.
    • Recommend and implement ways to leverage the membership database to segment and reach out to visitor and members to increase engagement.
    • Gather information and assist Events & Publications Coordinator with planning and implementing church-wide events (e.g., annual picnic, potlucks, other large fellowship events).
    • Assist in gathering content for publicity and work with the Events & Publications Coordinator on publication.

    Additional Support for Church Facility Management

    • Function as a primary administrator for the security door-locking system.

    Skills

    Excellent communications skills. Detail-oriented and able to prioritize, coordinate, and track multiple projects. The ability to work independently and as part of a larger team. Strong professionalism in demeanor, communication style and appearance.

    Ability to manage high-stress situations with calm competence. Strong work ethic and ability to work outside of normal business hours as needed to support congregational needs. A person who supports the mission of the church and is comfortable working within a faith-based organization.

    Preferred technical experience includes experience in Microsoft365 (Office, Outlook, Excel, PowerPoint, SharePoint, One Drive, Teams), Zoom, Shelby Systems Database, Constant Contact, and Canva or equivalents. Will also consider those with aptitude to learn and use technology.
