    Overview

    Ripley Waterfowl Conservancy (RWC), based in Litchfield, CT, is a conservation breeding facility for rare and endangered waterfowl and home to one of the largest collections of waterfowl species in North America. Nearly 25% of all waterfowl species are endangered or threatened according to the IUCN, and our work is dedicated to rebuilding those endangered populations and repopulating waterfowl habitats where possible. Through innovative research, partnerships with leading zoos and universities, educational programming and community engagement, RWC supports the long-term survival of rare and endangered species while inspiring a deeper understanding and appreciation for these remarkable birds.

    Position Summary

    Ripley Waterfowl Conservancy seeks a highly organized, detail oriented, and proactive Project Coordinator to join our team. In this role you will provide direct support to the Executive Director and oversee day-to-day functions of our organization. This part time (25 hours/wk) role is integral to ensuring the organization runs smoothly and efficiently. The ideal candidate will thrive in a collaborative environment, bring strong administrative skills, and contribute thoughtful insights to help advance the Conservancy’s mission. RWC is in a critical stage of growth creating multiple opportunities for the role to evolve with the organization.

    Key Responsibilities

    Executive Support & Thought Partnership

    • Collaborate with the Executive Director to brainstorm and implement strategies for organizational growth.
    • Support organizational initiatives by contributing ideas and assisting with project management tasks.
    • Assist in drafting reports, proposals, and other written materials as needed.
    • Provide support to the Executive Director to ensure efficient, effective and timely organization operations.
    • Prepare and organize materials for meetings, presentations, and events.
    • Assist with tracking deadlines, prioritizing tasks, and ensuring timely follow-up on key initiatives.

    Office Management

    • Oversee general office operations, including managing supplies, handling incoming communications, and maintaining organized records.
    • Act as a liaison between the Conservancy and external vendors or service providers.
    • Ensure the office environment is well-maintained and conducive to productivity.

    Organizational Administration

    • Process incoming donations and maintain accurate donor records in the database.
    • Assist with bookkeeping, such as preparing reports, processing invoices and reconciling accounts.
    • Provide support logistics for events, meetings, and special projects.

    Qualifications

    • Strong Organizational Skills: Demonstrated experience managing multiple priorities, meeting deadlines, and maintaining attention to detail.
    • Tech-Savvy: Proficiency in Microsoft Office Suite and familiarity with office management tools; experience with donor management software [and website platforms] is a plus.
    • Financial Proficiency: A working knowledge of accounting and comfort with financial management tools.
    • Effective Communicator: Excellent written and verbal communication skills, with a professional demeanor.
    • Problem Solver: Resourceful and proactive in identifying solutions and streamlining processes.
    • Passion for Conservation: A genuine interest in wildlife conservation and the mission of Ripley Waterfowl Conservancy.

    Salary: $25/hour, 25 hours/week

    RWC is located in Litchfield, CT. This role requires in person participation approximately 4/days week and some weekend/evening hours to support events and programs.
