    Overview

    The Administrative Assistant will assist the Rain Forest Trust project coordinator, the office manager and the country director ensuring that the implementation of the country program activity is completed efficiently and effectively within the scope of contract, funding, and time frame. As well as making sure the office complies with all matters related to accounting, financial, taxes and employment laws. This involves communicating with local and international partners, donors and team members to ensure operation of daily project activities, data collection and management.

    Responsibilities & duties

    • Work closely with the office manager, country director and Rain Forest Trust project coordinators to plan for activities including surveys, workshops, events and other collaboration with partners.
    • Manage contract milestone and reporting deadlines, to ensure program activities are completed effectively and efficiently.
    • Financial Management, including preparation of monthly financial reports, donor reports and other required financial reports.
    • Manage project budget, and control expenditure to ensure budget efficiency.
    • Organize meetings, coordinate events, conferences, and workshops.
    • Ensure office operation and provide project implementation support by ensuring availability of staff member, supplies, lodging, equipment, transportation, and funds. Also includes inventorying, safeguarding, maintaining of important equipment and other project properties in workable conditions, purchasing of equipment and supplies required for operation and contact suppliers for purchases, arranging shipping, etc.
    • Communicate with partners to provide support in collaborating projects.
    • Keeping records of financial records, presentations, reports, publications, media and promotional materials, etc.
    • Work closely with regional hub to provide necessary assistance to program work.
    • Work closely with the program´s lawyer and accounting to ensure the project activities comply with all applicable laws and regulations.
    • Willing to travel to, and work from different sites in Honduras.
    • Assist Panthera´s field biologist, when possible, this may include field surveys, data analysis, software programing and implementation (SMART and acoustic monitoring), camera traps and others.

    Qualifications, experience and personality traits

    • At least 3 years of Administrative Assistant experience, with formal qualifications in management or related field.
    • Proficiency in computer and technology, database management, Microsoft Office. Also, financial management software and report writing is desire.
    • Excellent communication and time management skills.
    • Basic knowledge in wildlife species and conservation issues in Honduras.
    • Ability to work independently and in teams.
    • Attention to details, reliable and discretion.
    • Willingness to work outside regular hours.
    • Proficiency in English and Spanish.
