    About the Brant Event Space

    In the summer of 2025, Solar One will begin programming in our new Environmental Education Center in Stuy Cove Park. The Center will host education programming on weekdays during the day, and in the evening, Solar One will host events in the Center, transforming it into the Brant Event Space, with space indoors for parties of up to 100 and outdoors of up to 300.

    Job Summary

    The Event Sales Coordinator, under the guidance of the Director and Park, provides efficient and accurate administrative and coordinator support for event planning functions for the Brant Event Space. The Coordinator will contribute to the development and execution of the strategy for meeting revenue goals, as well as coordinating scheduling with the Green Design Lab Education team and the Stuy Cove Park team.

    Essential Functions:

    • Assist the Director with client communication and event coordination from initial inquiry through event execution, including by not limited to:
      • Identifying event objectives and requirements, determining setup and pre-event needs, and coordinating event logistics, including catering, A/V equipment, and room setup.
      • Consulting with clients to plan details such as the number of persons expected, display space desired, and food service schedule.
      • Working events, if required, in an advisory role to ensure event success and client satisfaction.
        • Work schedule varies and may include evenings and occasionally working on holidays and weekends.
      • Scheduling and executing final meetings with clients and partners.
      • Collaborating with the Education Program Manager to avoid booking conflicts and ensure smooth transitions between space uses.
    • Support the director in writing proposals, creating accurate event orders, and generating recaps.
    • Respond to inquiries (phone, email, website) from potential clients.
    • Conduct site tours and showcase the event space's features and amenities.
    • Create and maintain accurate records of client interactions, event details, and sales activities in Salesforce. Generate contracts, correspondence, forms, memoranda, and other documents.
    • Collaborate with the Fiscal team to process and record client payments.
    • Support other event sales activities as assigned, including executing social media and marketing strategies as directed by the Senior Communications Manager.
    • Demonstrate the overall goals and objectives of the team: hospitality, sustainability, and efficiency. Maintain up-to-date awareness of company initiatives and industry trends and brainstorm opportunities for mission-aligned events.
    • Perform other duties as assigned by the Director.

    Required Education and Experience

    • Bachelor’s degree and or any equivalent combination of related education and experience.
    • Three years (3) experience in events sales, hospitality, operations, or marketing.
    • Hospitality or food service industry, on/off premise catering or event planning experience preferred.
    • Technical knowledge of basic sound, light, and video equipment
    • Excellent customer/client focus and strong interpersonal skills.
    • Excellent written and verbal communication skills.
    • Composure and attention to detail.
    • Computer proficiency, including Dropbox, Google, Microsoft Office, Excel, PowerPoint, and Salesforce, is a plus.
    • Enthusiasm for Solar One’s environmental mission, party planning, customer experience, and making the Brant Event Space a success.

    Pay and Benefits

    This position is Full Time

    Paying $64,000-$70,000 per year (salary based on experience)
