    Title: Receptionist and Administrative Assistant

    Organization: Community Water Center

    Location: Based in Visalia, CA our office is 222 N Garden St., Suite 300, Visalia, CA 93291

    Office Hours: In-person Monday through Friday from 9:00 AM- 5:30 PM

    Community Water Center acts as a catalyst for community-driven water solutions through organizing, education, and advocacy. CWC has offices in Visalia, Watsonville, Sacramento, CA, and a satellite office in DC. We seek to build and enhance leadership capacity and local community power around water issues, create regional movements for water justice in California, and enable every community to have access to safe, clean, and affordable drinking water.

    Position Description: The Receptionist and Administrative Assistant is a regular, full-time, non-exempt hourly position. This position will be responsible for enthusiastically greeting in-person guests to the Visalia office, routing phone calls, managing the daily administrative tasks, and providing clerical and program support across CWC three offices. This position reports to the Administrative Associate and will also work closely with other CWC staff, community partners, independent contractors, allies and vendors. All employees at CWC are “at will.”

    Major Responsibilities

    • Administrative Be the first point of contact from the Visalia office for intake calls and forward messages to appropriate staff. Will support via remote for the Sacramento and Watsonville offices. ● Draft, edit, and distribute internal staff communications. ● Review and revise materials to verify accuracy and completeness and attention to detail. ● Support with the recruitment/onboarding of new employees. ● Support with accounts payable/receivable and month-end reporting procedures. ● Assist with mail processing. ● Scan, organize, and/or distribute various documents as needed. ● Maintain and manage paper and electronic records pertaining to CWC’s operations, accounting, and human resources while ensuring the confidentiality of sensitive information. ● Assist with scheduling meetings, coordinating events, travel logistics and other needs as assigned.
    • Data Collection & Tracking ● Conduct data entry and gather data to generate reports. ● Track and monitor expenditures and other key operational data. ● Manage our expense and timesheet tracking software's. ● Assist with performing research for special projects and programs.
    • Facilities Management ● Managing to ensure that all office facilities- Visalia, Watsonville and Sacramento- are operating smoothly and efficiently. ● Staff the front desk of the Visalia office. ● Maintain a well-organized office space, extend a courteous welcome to visitors, and effectively manage incoming phone calls. ● Lead the management of our three office spaces, including planning for accommodating new staff or managing staff transitions. ● Lead troubleshooting of technology and facilities issues. ● Ensuring the supplies are stocked in all offices and support with tracking inventory. ● Ensure company vehicles are properly maintained.
    • General Duties Foster an environment that promotes trust and cooperation amongst CWC staff, community members, and affiliate organizations. ● Actively participate in program strategy and staff meetings. ● Actively participate in CWC fund development activities, such as donor drives, online appeals, and other events.     Required Qualifications ● Fluent in English and Spanish (written and oral). ● Passion for business administration ● Associates Degree in Business Administration or completion of some college-level courses in the Business Administration field ● One year minimum of administrative experience in an office environment. ● Able to multitask a variety of tasks in a fast-paced environment ● Excellent communication, writing, time management, and organizing skills. ● Ability to work in a fast-paced environment, be flexible and adapt to changing circumstances. ● Proficient computer skills including, at minimum: Microsoft Office and Google Apps ● Event planning and logistics experience ● Ability to keep sensitive information confidential. ● Valid CA driver’s license

    Desired Qualifications ● Experience troubleshooting office equipment and software issues. ● Experience with managing the facilities of an organization's offices to ensure they are operating smoothly via in-person and remote. ● Familiar with using Expensify, Adobe, Bill.com and/or Paylocity

    Hourly Range: $20-25 per hour; based on experience and qualifications.
