    Position Overview: The Advancement Coordinator will report and work closely with the Managing Director, leading fundraising and grant-writing efforts to strengthen the organization’s financial health and advance its development and sustainability. This role involves identifying and cultivating relationships with donors, sponsors, and grant prospects, as well as supporting fundraising events and partnership development. The Advancement Coordinator will maintain funder databases, support relationship-building with strategic partners, and contribute to program funding goals. They will draw on their network to increase financial support, with support from the Program Director, Communications Associate, and Board.

    PRIMARY RESPONSIBILITIES & OBJECTIVES

    • Development and implement strategies for relationship-building and donor cultivation in Los Angeles to expand funder base, and carry out the Foundation’s mission.
    • In charge of creating and executing strategy to garner sponsorship support from major donors, corporation sponsors, and individuals.
    • Builds and maintains detailed databases and development pipelines to track donor and grant prospects.
    • Proactively builds relationships on behalf of organization to promote mission advocacy, focused on org growth and sustainability.
    • Leads funding efforts for cyclical development initiatives around organizational milestones and other opportunities such as Giving Tuesday, National Music Month, Women’s History Month, etc.
    • Works with Program Director and Communications Associate to frequently collect data and analytics to create narrative around PMF’s impact and mission, strengthening the quality of grant proposals and donor outreach.
    • Responsible for raising the Foundation’s annual budget of $250k, working closely with the Board of Directors and Managing Director, based on a strength-based and strategy development approach.
    • Work closely with the Board, Managing Director, and special fundraising committees to meet ambitious annual fundraising goals by securing financial support from foundations, corporations, individual donors, and government funding sources.

    MAIN ROLES

    Fundraising & Donor Cultivation

    • Proactively conducts research to identify potential donors, extends outreach, schedules in-person meetings, plans stewardship activities with potential and existing donor contacts or connectors, and extends respectful thank-you’s and follow-ups.
    • Creates and executes development plans and strategy alongside the Managing Director and Board of Directors to meet quarterly and annual fundraising goals.
    • Consults with Program Director and Communications Director to coordinate donor messaging in out-facing verbiage and communications.
    • Plan and carry out development campaigns surrounding the Foundation’s programmatic calendar, and annual giving calendars (eg. Giving Tuesday, EOY campaigns, etc.) in conjunction with marketing campaigns (alongside Communication Associate).
    • Leads creation and execution of strategic plan with support from the Board and Managing Director.

    Grant Writing

    • Proactively conducts research to identify potential grant opportunities and sends LOI’s as applicable.
    • Writes compelling, competitive proposals tailored to each grantor's stated eligibility requirements and specific areas of focus.
    • Gathers and organizes required materials and information for grant proposals (including but not limited to program and organizational budgets, Board resolutions, balance sheets, profit & loss statements, 990s, etc.).
    • Reviews grant contracts and agreements alongside the Managing Director and Program Director, and in charge of submitting electronic and/or hard copies of final grant applications with detailed attention to each funder's unique instructions.
    • Communicates with the Managing Director regarding required program budgets for proposals and awarded grant contracts, award spend-downs, invoicing against grant awards, and maintenance of source documentation by project.
    • Keeps up-to-date regarding music industry news and events that may impact or inform the Foundation, including but not limited to mission, programs, donor approach, grant proposals, etc.
    • Respectively requests further information or meetings with representatives from denied grants to help inform strategy for future applications.

    Pipelines and Data Management

    • Has a strong knowledge of Salesforce and ability to utilize the CRM platform regularly and efficiently to meet the needs of the organization, present and future (including but not limited to creating automated functions for tracking relationship stages, donor leads, grant information, and metrics).
    • Effectively pinpoints appropriate contacts for outreach at prospective corporations or foundations, and maintains organized data pipeline documents, strategic outlines and centralized giving calendars organized and accessible in Google Drive.

    General & Reports

    • Attends and/or calls into proposal strategy/planning meetings with Foundation staff.
    • Works with Communications Associate and Program Director to create professional and visually appealing decks and one sheets for presentations to potential funders.
    • Creates development narratives on a quarterly basis for the Board of Directors (Board Reports) to be presented at Board meetings, and reports to the Managing Director on a bi-weekly or weekly basis regarding development updates, strategies, narratives, and fundraising goals and milestones.

    QUALIFICATIONS

    • At least 3+ years of fundraising experience
    • Proven track record of high-level grant prospecting with private and family foundations, corporate funders, individual donors, and public-sector grant sources.
    • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
    • Ability to adapt to shifting priorities, demands and timelines promptly and efficiently.
    • Demonstrated proactive approaches to research, outreach, and problem-solving with strong decision-making capability.
    • Excellent interpersonal and external (verbal and written) communication skills, and a passionate storyteller.
    • High level of discretion pertaining to confidential information.
    • Creative thinker, who is intellectually curious.
    • Holds a high level of determination, strives to make continual progress, and finds motivation in rejection (determination to make each application stronger than the last).
    • Strong computer and presentation design skills including experience with Google Workspaces (Google Drive), Trello, Canva, and Zoom.
    • Proven experience using CRM platforms, Salesforce preferred.
    • Resourceful, creative, collaborative, and passionate about nonprofit organizations.
    • Eager to represent the Foundation’s mission as an ambassador to potential partners/donors/members, etc.
    • Strong relationship-building skills with a high EQ. Demonstrated ability to relate to people from various cultures, backgrounds, and belief systems.
    • Agile in responding to emergent needs.
    • Demonstrated ability to work in a team environment effectively and respectfully, as well as spearhead projects independently.
    • Ability to analyze and discuss program initiatives and growth strategies.
    • A self-starter who is detailed-driven and dependable.
    • Past music background/experience, or curiosity to learn more about the music industry.
    • A passion for creating original content using a diversity and equity lens.
