    JOB TITLE: Office Coordinator/Manager

    REPORTS TO: Director of HR & Administration

    SALARY RANGE: $29-$35/hour (Depending on Experience)

    JOB LEVEL: fulltime; Intermediate

    MISSION STATEMENT: To help transform the social and economic conditions in South Los Angeles that foster addiction, crime, violence, and poverty by building a community institution capable of involving thousands in creating, influencing, and changing public policy.

    ORGANIZATION OVERVIEW: Community Coalition (CoCo) is a non-profit social justice organization founded by now-Mayor Karen Bass that works to address social and economic conditions in South LA by providing a platform for everyday residents to fight for policy solutions that build up the community. Since 1990, CoCo has built a groundbreaking, community-driven approach to creating change. We elevate our members' voices, shift power to the community, and tackle the root causes of poverty, crime, and violence. Together we are creating a more prosperous, safer, and healthier South LA.

    • Stopping the expansion, and curbing the overconcentration of liquor stores in South LA
    • Innovating and implementing violence prevention programs and strategies

    POSITION DESCRIPTION: Under the direct supervision of the Director of HR & Administration, this position is responsible for overseeing the daily administrative functions of the office. This role is often the first point of contact for internal personnel and external visitors. Duties may include scheduling events and meetings and managing the organizational calendar. This role may be responsible for overseeing the Office Associate to ensure work productivity, meeting deadlines and organizational standards. Monitoring office supplies and kitchen supplies in conjunction with Finance, taking inventory, and managing stock levels. Managing records, maintaining office files and records, handling correspondence, dealing with complaints, queries, and correspondence, and preparing responses as required. Ensuring compliance with established protocols and procedures. Provide other administrative support as necessary, including creating reports, composing correspondence, and managing and updating general office procedures as necessary.

    ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned):

    • Provide administrative, organizational and scheduling structure to the key functions of the organization as assigned
    • Perform receptionist duties, including receiving and screening communications such as telephone calls, mail and e-mail messages, and provide assistance using independent judgment to determine those requiring priority attention as appropriate
    • Receive and greet visitors, and collaborate with the organizational departments to promote comprehensive, customer service
    • Support the mission of Community Coalition by engaging prospective and current members in the mission, values, campaigns and programs of the organization
    • Manage office supplies and kitchen supplies in conjunction with Finance to maintain
    • inventory
    • Identify opportunities for process and office management improvement and implement as appropriate
    • Initiate and respond to written and verbal correspondence, including composition, editing, and distribution to the staff as assigned by supervisor
    • Arrange for meals and myriad errands and other logical needs as requested
    • Help Monitor copier usage and maintenance, as well as other office equipment needed for daily operations.
    • Regularly inspect the site and make recommendations to the Director of HR and Administration and the Facility Manager related to preventative maintenance
    • Support staff on conference room setup and breakdown for meetings, lunches, and special events as requested
    • Perform and support special projects/programming and other duties as assigned. This will include supporting a campaign effort or supporting a community events
    • Provide supervision and oversight to the Administrative Associate as assigned.

    QUALIFICATIONS: The ideal candidate will have at least a 3+ year track record of successfully leading the coordination and management of the administrative functions of a non-profit agency; they will also have sound knowledge of the social and economic landscape in South Los Angeles; experience working across teams to accomplish a collective goal. The ideal candidate will also have strong organizational and time management skills; and ability to prioritize. Excellent communication and interpersonal skills; and strong problem-solving skills and analytical abilities. The ability to provide general office management coupled with a variety of clerical and administrative duties to ensure the efficiency of the organization’s reception services, room reservations while addressing the internal needs of the staff. A professional comportment and business demeanor is essential to being successful in this position.

    Skills:

    • Spanish Proficiency (verbal and written) desired, but not required
    • Strong analytical verbal and written communication skills, with an emphasis on an ability to effectively communicate with diverse audiences
    • Outstanding organizational and project management skills, with great attention to detail and the ability to work under pressure with a high degree of accuracy.
    • Proficiency in Microsoft Office, and Google Suite platforms.
    • Ability to handle multiple projects simultaneously
    • Ability to prioritize and set goals by developing weekly, monthly, and quarterly work plans.
    • Ease at managing competing priorities and strategically problem-solving.
    • Ability to maintain confidentiality.
