POSITION DESCRIPTION: Under the direct supervision of the Director of HR & Administration, this position is responsible for overseeing the daily administrative functions of the office. This role is often the first point of contact for internal personnel and external visitors. Duties may include scheduling events and meetings and managing the organizational calendar. This role may be responsible for overseeing the Office Associate to ensure work productivity, meeting deadlines and organizational standards. Monitoring office supplies and kitchen supplies in conjunction with Finance, taking inventory, and managing stock levels. Managing records, maintaining office files and records, handling correspondence, dealing with complaints, queries, and correspondence, and preparing responses as required. Ensuring compliance with established protocols and procedures. Provide other administrative support as necessary, including creating reports, composing correspondence, and managing and updating general office procedures as necessary.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned):
QUALIFICATIONS: The ideal candidate will have at least a 3+ year track record of successfully leading the coordination and management of the administrative functions of a non-profit agency; they will also have sound knowledge of the social and economic landscape in South Los Angeles; experience working across teams to accomplish a collective goal. The ideal candidate will also have strong organizational and time management skills; and ability to prioritize. Excellent communication and interpersonal skills; and strong problem-solving skills and analytical abilities. The ability to provide general office management coupled with a variety of clerical and administrative duties to ensure the efficiency of the organization’s reception services, room reservations while addressing the internal needs of the staff. A professional comportment and business demeanor is essential to being successful in this position.
