POSITION SUMMARY:
Under the supervision of the Executive V.P. of Operations oversees day-to-day operations for registration/front desk, medical records, unit clerks and cashier. Coordinates administrative functions for the health care center clinics and serves as a surrogate administrative clerk when needed.
RESPONSIBILITIES:
- The Administrative Clinical Manager serves as a key team member working with the Medical Director, Director of Nursing, Dental Director, Medical Records Supervisor and to coordinate all day-to-day administrative support functions for the health center.'
- The Administrative Clinical Manager is responsible to oversee day-to-day operations for clerks, including the front desk/registration, medical records, Unit clerks and cashiers.
- Ensures that the front desk/registration, medical records and unit clerk, process, update and file all medical records and supporting documents.
- Assigns clerks to perform various tasks necessary for clinic operations like retrieval of referrals, printing daily appointment lists, insurance verification, appointment recall, etc.
- Serves as a liaison between the health center and the clinic patients. Addresses patient complaints and concerns, discusses the patient's payment obligations and refers patients to the appropriate parties when necessary.
- Investigates patient flow, waiting times and waiting room experience to ensure that the patient visit operates smoothly.
- Performs patient traffic control by following patients from the arrival time to discharge.
- Serves as a surrogate clerk either at front desk/registration, medical records, unit clerk or cashier when needed.
- Trains clerks in all existing and new administrative policy and procedure
- Monitors administrative compliance regarding all policies and procedures to ensure that the clerks operate according to the organizations regulations and guidelines.
- Provides thorough orientation for new clerks and continual training for existing clerks regarding their job function. Staff scheduling and vacation review and approvals.
- Evaluates the performance of the clerks and prepares performance reviews for the Executive Vice President of Operations for final approval.
- Conducts regular monthly meetings of the clerical personnel to review policy and procedure, promote team work and address all employee suggestions and concerns.
- Reports immediately to the Executive Vice President of Operations about unresolved operational problems when help is needed. Also reports on the general functioning of the administrative clinic support.
- Reviews all open encounters on a daily basis and coordinates with the appropriate parties on the proper transfer and speedy closure of encounter forms.
- Supports the medical personnel to implement the redesign model of health care service delivery.
- Coordinates with other Administrative Clinical Manager regarding clerical shifts at each site in particular coordinates vacation time for clerks at the various sites to ensure that a floater is available.
- The Administrative Clinical Manager is: responsible for other site building clerical functions when the supervisor at those sites is on vacation or out sick
- Monitors administrative clinic supplies and handles all requests for new supplies when necessary.
- Every two weeks, prepares time cards for administrative clerks under his/her supervision for the Payroll Department.
- May be required to perform other duties as assigned or when necessary. If such work becomes a permanent and regular part of the job, a new description will be prepared.
MINIMUM QUALIFICATIONS:
- Bachelor's degree minimal but master's level preferred. A minimum of three years relevant work experience.
- Bilingual (Spanish and English) preferred.
- Proficient in Microsoft Word and Excel.
- Excellent communication skills and attention to details.
- Ability to effectively manage a team of workers and work with a diverse group of people.
- Strong-interpersonal and communication skills.
- Solid organizational skills and an ability to oversee multiple projects effectively and efficiently.
- A demonstrated interest in working in a health care setting.
- Creative problem solving, facilitation, collaboration and coordination skills.
