    Position Summary

    The Program Associate, Purchasing (Temporary) supports the purchasing team by managing administrative tasks related to purchasing activities. This position requires excellent organizational skills, attention to detail, and effective communication to ensure the smooth operation of purchasing functions. The position leads and operates with the goal that All Rural Students Succeed.

    Note: This is a full-time (40 hours per week), temporary position anticipated to last for 6 months. This role is not

    eligible for benefits.

    Primary Duties and Responsibilities

    To perform this job successfully, an individual must be able to perform each primary duty satisfactorily. The requirements of the position are representative of the knowledge, skill, and/or ability required, with regular and predictable attendance essential.     • Organizes and maintains processes to manage all purchasing files and records
    • Provides general clerical and administrative support for activities such as correspondence and email sorting
    • Ensures that purchasing activities comply with PRI policies and procedures
    • Maintains quality standards in all purchasing documentation
    • Responds to inquiries from internal departments and suppliers regarding purchasing matters
    • Performs preliminary business checks through relevant Secretary of State offices and SAM.gov
    • Provides information and documentation needed for account setup with new vendors and obtains documentation needed for new vendor setup in the ERP system
    • Other roles/duties will be assigned as necessary to assist and support in the attainment of our mission, All Rural Students Succeed

    Position Location & Schedule

    The position will be considered for remote work.

    Normal business hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. ET with in-office, hybrid and/or remote work a possibility. Because of the nature of the responsibility to schools, partners, funders, and to the service region, individual offices or departments may have operating hours that extend beyond this period and may include evening and/or weekend hours.

    Minimum Qualifications

    Education required to ensure success in this position:

    • Associate’s degree

    Experience required to ensure success in this position:

    • A minimum of three years’ experience working in the areas of finance, human resources, office management, grants development or grants management, higher education, financial aid, college access or related field required
    • Three years’ administration experience in a professional office setting with responsibilities in the following areas: bookkeeping, data entry, word processing, managing correspondence, filing, and supervision and scheduling of work teams, event planning, meeting preparation, and management of building space/resources.

    Special skills, knowledge and abilities:

    • Excellent written and oral communication skills
    • Superior interpersonal and organizational skills
    • Computer competency including data entry, word processing, familiarity with Microsoft Office products - Word, Excel, Outlook
    • Ability to handle several projects simultaneously with close attention to detail
    • Ability to work as an integral part of a team
    • Ability to meet deadlines
    • Ability to maintain confidentiality and protect the private nature of files and conversations

    License, certification, or registration necessary:

    • Valid driver’s license
    • Successfully complete pre-employment background check

    Physical requirements:

    • Ability to work in a high-energy office
    • Ability to accurately communicate and exchange information with partners, stakeholders, and/or meeting participants
    • Ability to operate standard office equipment
    • Ability to operate motor vehicle

    Environmental conditions:

    • Work in a fast-paced setting with frequent interruptions and shifting priorities
