    About the Greater DC Diaper Bank

    The Greater DC Diaper Bank (GDCDB) supports economically vulnerable families in the greater Washington, DC area by collaborating with partners to distribute essential baby and hygiene products and expand access to critical services.

    Founded in 2010, GDCDB meets an ongoing need for families, as diapers and other common necessities remain uncovered by social safety net programs like SNAP or WIC. Guided by core principles of dignity, care, learning, and service, GDCDB collects and distributes the supplies and products that families need to be safe, happy, and healthy through four programs:

    • The Diaper Bank, which provides diaper products of all sizes by leveraging an extensive network to secure diapers through in-kind donations from families and corporations, as well as discounted wholesale purchases;
    • The Baby Pantry, which secures, stocks, and supplies formula, wipes, baby food, hygiene, and nursing essentials;
    • The Nursery Project, which promotes safe sleep, play, and travel with cribs, car seats, and new baby gear; and
    • The Monthly, which distributes often overlooked period products and hygiene supplies not covered by public assistance.

    Diapers and other health essentials provided by GDCDB augment the services and ability of community partners to respond to a family's range of needs. GDCDB’s simple but powerful model pairs essential goods with service agencies’ proven interventions to increase engagement and build trust with the families they serve. Products are distributed to a partner network of 75+ local nonprofits, government agencies, and faith-based organizations. GDCDB has a significant presence in the District of Columbia and Montgomery County, with a growing footprint in Prince George’s County and across Northern Virginia.

    GDCDB is now one of the nation’s largest diaper banks and distributes 11+ million diapers and nearly $1 million worth of other items annually to organizations serving tens of thousands of families throughout the region, filling the current gap in available assistance for families in need.     Job Description

    Reporting to the Director of Development (DOD), the Development Coordinator is vital to the Greater DC Diaper Bank's Development Department and is integral to all aspects of the donor cycle. Database management, including gift and donor data entry, reporting, and analysis of donations through Salesforce, is a central function of the role. The Development Coordinator supports various fundraising activities, including direct mail and digital appeal coordination, donor recognition, stewardship, and administrative activities related to the Development Department. The Coordinator has a special focus on database management, donor customer service, research and analysis, and event planning and support. This position will participate in developing annual plans and reports, as well as strategies for fundraising activities.

    The Development Coordinator is a strategic thinker who communicates professionally and effectively with peers, volunteers, donors, board members, and other community stakeholders. This person is a team player who brings energy and drive to the team and provides crucial administrative support to ensure the smooth operation of fundraising and development activities. The ideal candidate for this role is a detail-oriented individual who can handle multiple tasks efficiently while maintaining a professional demeanor. Additionally, the Coordinator maintains and ensures consistent and accurate donor data entry into the CRM, which is crucial for all aspects of fundraising.

    Key Responsibilities:

    • In partnership with the DOD, support relationship-building efforts for annual, mid-level, and major donors, including administrative management of the Baby Benefactors program.
    • Coordinate the annual development of a Cultivation Calendar with touchpoints for all donor levels. Coordinate and execute special mailings and emails, including holiday cards, newsletters, etc.
    • Support development team fundraising targets through exceptional follow-up, stewardship strategies, and customer service.
    • Assist with producing and implementing appeal campaigns and other fundraising communications and strategies distributed through various channels, including personal contacts, direct mail, social media, and other correspondence. Assist with writing and proofing outreach materials.
    • Function as point staff for all gift processing and tracking. Generate and track acknowledgment and tribute letters for all gifts.
    • Utilize the database to ensure accuracy and timely reporting to meet department needs efficiently, including to manage all communications, appeal, and membership lists. Run reports, synthesize information, and share frequent updates about current and prospective donors with the DOD.
    • Support the Executive Director (ED) and DOD in preparing for donor meetings, including preparing briefing documents, talking point templates, and research profiles. Conduct additional donor research to identify potential prospects and upgrades.
    • Provide administrative support to the grants process, including assisting in grant research as needed. Manage all database functions to ensure proper grant management, including tracking payments, uploading documents, generating deliverable deadlines, updating and maintaining notes, etc.
    • Execute all administrative management for the Board of Directors' fundraising portfolios and other fundraising initiatives at the direction of the DOD.
    • Serve as primary logistics staff for all virtual and in-person fundraising events, briefings, and other fundraising-related gatherings. Support event planning and production, including creating event plans and budgets, tracking expenses and revenue (where applicable), coordinating event invitations, securing appropriate locations and vendors, ensuring timely communication to invitees and attendees, and executing all event follow-up (including data entry in the database). Participate in and ensure staffing for special donor bundling events (including Baby Benfactors-only events 2-3x/year).
    • Maintain constituent records in the database to ensure overall donor data integrity. Ensure ongoing maintenance of all donor records in the database. In collaboration with the Database Administrator, design and implement clean-up reports and assist with database maintenance on an ongoing basis.
    • Maintain all mailing lists, including renewals, invitations, direct mail correspondence, and mail merges.
    • Support the development of an Annual Report, incorporating ideas and feedback from all GDCDB staff. Help translate data and stories from across GDCDB into compelling fundraising content.
    • Proactively identify fundraising opportunities for the organization, including in-kind donations, online campaigns, and special events.
    • Maintain the main Development email account and personally address or assign all incoming items promptly.
    • Enable and support the Development team's use of key tools, including Salesforce, Dropbox, Mailchimp, DonorSearch, and other org-wide systems, to drive efficiency and organization in fundraising.
    • Manage the Development Department's electronic filing systems. Ensure and maintain the orderly organization of files at all times.
    • Regularly handle highly confidential materials and written and sensitive conversations requiring independent judgment and discretion.
    • Ensure Development Department SOPs are reviewed regularly and updated to reflect current and best practices. Recommend procedural changes to improve the operations of the Development Department. Generate new SOPs as needed.
    • Provide support to volunteer events and Baby Pantry distribution, as requested.
    • Proactively and at the direction of the DOD, identify professional development opportunities to fill personal knowledge gaps, stay apprised of fundraising tool and resource functionality, and increase general fundraising acumen.

    Requirements

    • Prior database and/or CRM experience required. Salesforce experience is very helpful.
    • Able to model and work with integrity, collaboration, and stewardship.
    • Excellent verbal and written communication skills.
    • Excels working independently and within a team on special nonrecurring and ongoing projects.
    • Highly organized with keen attention to detail. Ability to successfully manage multiple projects at a time.

    Preferred Candidate Traits

    • Creative and willing to test out new ideas.
    • Graphic design experience or prior fundraising experience is helpful.

    Compensation: This is a full time, hourly position eligible for overtime with a range of $26 - 32/hour ($54,080 - $66,560) with future increases commensurate with organizational growth.     Working Location and Times: The Greater DC Diaper Bank serves the Washington, DC region, with a network of partners spanning DC, Montgomery, Prince George’s Counties in Maryland, and Northern Virginia. The Development Coordinator works three days a week from office in Silver Spring, MD with an option of working remotely or in the office for two additional days. On occasion, this role will require evening and/or weekend hours.
