    Position Title: Administrative Director // Status: Full-time, Exempt

    Location: South Bronx; Hybrid (Office three days a week, remote two days a week)

    Salary Range: 100K - 105K

    Position Overview

    The Administrative Director is responsible for translating the strategic vision and goals set by the SBU Board of Directors into actionable plans and ensuring the organization’s work aligns with its mission. This role manages the organization’s daily operations, supervises all staff, oversees human resources with the support of a PEO platform (JustWorks), and ensures financial integrity and compliance with grant requirements. The Administrative Director is instrumental in fostering a culture of accountability, equity, and excellence while advancing the organization’s impact and ensuring operational sustainability.

    Key Responsibilities

    Organizational Leadership & Strategic Implementation

    • Collaborate with the Board to operationalize organizational goals, ensuring that all initiatives are consistent with the mission and strategic vision.
    • Serve as a senior leader in the organization, providing direction to staff, and fostering an inclusive and mission-driven workplace culture.
    • Lead organizational planning processes, setting clear, measurable objectives and benchmarks for programmatic and operational outcomes.

    Staff Supervision & Development

    • Directly supervise all staff members, overseeing workload distribution, resource allocation, and individual performance to meet organizational goals.
    • Conduct annual performance reviews, provide regular feedback, and make recommendations to the Board for promotions, raises, or other personnel actions.
    • Oversee human resources administration in partnership with the PEO platform (JustWorks), including onboarding, benefits management, and employee relations, while ensuring compliance with employment laws.

    Budget & Financial Management

    • Lead the organization’s budgeting process, ensuring financial alignment with strategic priorities and accountability to the Board and funders.
    • Oversee grant budgets, financial reporting, and expenditure tracking to ensure compliance with funder requirements.
    • Implement and uphold financial policies, ensuring transparency and integrity in all financial operations.

    Grant Compliance & Project Oversight

    • Ensure all grant deliverables and compliance requirements are met, tracking deadlines and reporting needs across projects.
    • Collaborate with project leads to ensure adherence to timelines, budgets, and funding obligations, especially in community-focused initiatives like air quality monitoring and environmental justice programming.
    • Collaborate strategically with grantwriter to identify, pursue, and develop compelling grant proposals that align with organizational objectives and funding priorities.

    Policy & Procedure Development

    • Develop, implement, and maintain organizational policies and procedures, ensuring they are aligned with best practices, legal standards, and organizational values.
    • Regularly review and update policies, integrating feedback from staff and the Board to ensure continuous improvement and adherence to the organization’s mission.
    • Uphold a high standard of organizational accountability by fostering awareness and understanding of policies among all staff members.

    Board Collaboration & Reporting

    • Act as a key liaison to the Board, providing regular updates on organizational performance, financial health, and operational needs.
    • Support the Board in strategic planning and ensure all board directives are effectively communicated and implemented within the organization.
    • Provide timely, transparent reporting on organizational metrics, progress toward goals, and areas needing Board-level attention.

    Communications

    • Manage and contribute to all high-level organizational communications, including press releases, newsletters, social media platforms and external-facing materials.
    • Collaborate with staff and Board members to ensure messaging aligns with the organization’s mission and priorities.
    • Maintain a centralized repository of communication materials, ensuring consistency, accessibility, and readiness for use in advocacy, community engagement, and media relations.
    • Oversee the organization’s external presence, including coordination with partners, stakeholders, and media as needed.

    Experience & Qualifications

    • Leadership: Minimum of 7-10 years in senior administrative, operations, or management roles, preferably within nonprofit organizations focused on environmental/social justice, community advocacy, or public health. Demonstrated success in aligning organizational operations with strategic goals and fostering a mission-driven workplace culture.
    • Staff Supervision & Human Resources: Strong experience in managing teams, providing mentorship, conducting performance reviews, and supporting staff development. Proficiency in handling HR matters and ensuring compliance and best practices in personnel management.
    • Financial & Grant Management: Skilled in nonprofit budgeting, financial oversight, and compliance, with a proven track record in managing grant-funded projects. Experience in tracking and reporting on grant deliverables and maintaining financial integrity across the organization.
    • Operations & Compliance: Background in implementing organizational policies and procedures that promote operational efficiency and compliance. Ability to ensure that all activities, from community engagement to advocacy, align with both funder requirements and the organization’s mission.
    • Core Skills & Attributes: Strategic implementation, organizational leadership, strong interpersonal and communication skills, and commitment to environmental justice and community building. Skilled in translating board directives into actionable plans, supporting transparent and accountable operations.
    • Technical Proficiency: Proficient in office productivity and financial software, with experience in project management tools to support efficient and cohesive team operations.
