    Job Title: Finance and Operations Coordinator

    Location: Hunter College, New York, NY

    Position Summary

    The Finance and Operations Coordinator is responsible for supporting the financial and operational functions of the Hunter College Foundation. This role will assist in processing gifts, reconciling financial transactions, managing credit card activities, supporting vendor management, and handling various administrative tasks to ensure the smooth operation of the Foundation’s financial systems. The Coordinator will work closely with the finance team and other staff members to maintain efficient and accurate processes.

    Key Responsibilities:

    Gift Processing and Reconciliation

    • Process all gifts, including checks and online donations, in a timely and accurate manner.
    • Ensure all gifts are recorded accurately in the financial systems (RE to FE push).
    • Reconcile gifts on a regular basis to ensure proper accounting and accurate financial reporting.
    • Generate and distribute weekly gift reports to internal teams for visibility and tracking.

    Credit Card Management

    • Handle credit card reconciliation on a regular basis to ensure all expenses are documented and accounted for.
    • Ensure timely payment of all credit card balances to avoid late fees and disruptions in services.
    • Facilitate the application process for new credit cards as needed for Foundation operations.
    • Maintain detailed records of credit card usage and assist in financial reporting related to credit card transactions.

    Vendor Management

    • Create new vendors in the Financial Edge (FE) system as requested by various departments.
    • Assist with ensuring proper documentation and compliance for new vendor entries.

    Web Invoicing and Administrative Support

    • Submit invoices through the web invoicing system in a timely manner.
    • Create new users for the web invoicing system and ensure proper access and permissions are granted.
    • Assist with filing and scanning of documents, ensuring proper records management in compliance with Foundation policies.

    General Administrative Support

    • Perform filing, scanning, and general administrative tasks related to the financial and operations functions of the Foundation.
    • Assist with other operational duties as needed to ensure smooth day-to-day operations.

    Qualifications:

    • Education: Bachelor’s degree in Finance, Accounting, Business Administration, or a related field, or equivalent professional experience.
    • Experience: Minimum of 2 years of experience in finance or operations support, preferably within a nonprofit or higher education environment.

    Skills:

    • Strong organizational skills with the ability to manage multiple tasks and deadlines.
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with accounting software (preferably Financial Edge or similar).
    • Excellent attention to detail and accuracy in data entry and reconciliation.
    • Strong written and verbal communication skills.
    • Ability to maintain confidentiality and work with sensitive financial information.
    • Ability to work independently and as part of a team in a fast-paced environment.

    Additional Information: This position may require occasional evening or weekend work to meet deadlines or assist with special projects. The Finance and Operations Coordinator will report directly to the Director of Finance and Operations.

    Compensation and Benefits:

    Salary commensurate with education and experience. Range for the position is $65,000 - $75,000
