    ABOUT REBUILDING TOGETHER PHILADELPHIA: Rebuilding Together Philadelphia (RTP) is a non-profit that revitalizes communities by transforming vulnerable houses into safe, healthy and energy-efficient homes. Each year, RTP staff, subcontractors and 500 volunteers provide free safe and healthy home repairs to 150 homes in Philadelphia.

    POSITION REPORTS TO: Development Director

    OVERVIEW OF POSITION:

    The Project Coordinator will support Rebuilding Together Philadelphia’s (RTP’s) mission through volunteer engagement, event coordination and administrative support. This is a non-exempt position.

    PRIMARY RESPONSIBILITIES

    Program

    • Lead hospitality function (volunteer support, registration, meal planning, etc.) and coordinate volunteers with other team members during rebuilding days.
    • Conduct yearly analysis of homeowner and volunteer data.
    • Manage logistics for the annual Volunteer Appreciation party.
    • Maintain and update volunteer component of Salesforce database.
    • Utilize RTP’s project management software, Asana, to track tasks and review with team.
    • Manage and reply to all phone inquiries and keep resource list updated on RTP website.
    • Coordinate volunteer surveys and present data once annually to the Board of Directors.

    Development

    • Print and mail donor thank you letters and smaller donor appeals.
    • Deposit checks and record gifts in Salesforce.
    • Manage online giving platforms and ensure that gifts are recorded and acknowledged.
    • Enter new contracts and grants into the Salesforce database.
    • Oversee logistics and donor data for annual Run to Rebuild (monthly committee meetings, race registrations, permits, and migrating donor data and day-of coordination).
    • Support Communications Manager and Development Director on graphic design content.

    Administrative

    • Prepare bank documents and gift tracking for accountant.
    • Maintain up-to-date forms, certifications, and background checks.
    • Make post office runs, keep office stocked with postage.
    • Maintain inventory of stationery, office and kitchen supplies.
    • Manage various subscriptions/purchasing.
    • Support CEO in preparation of Board package, grants and other tasks.
    • Take Board meeting minutes.
    • Other duties as assigned.

    CORE COMPETENCIES AND SKILLS

    Successful candidates should be able to demonstrate most, but not necessarily all, of these competencies and a willingness to grow in areas where they have less experience.

    • Experience working with volunteers or managing volunteer events.
    • Ability to manage and coordinate events effectively, balancing long-term planning with medium- and short-term objectives.
    • Able to work long hours and occasional Saturdays on rebuilding days as well as occasional evenings.
    • During the week between Christmas and New Year’s the Development team will have light duties that can be performed remotely.
    • Strong planning, attention to detail and organizational skills.
    • Initiative & Ownership – RTP employees are asked to take responsibility for their own work, ask questions when they need help, and deliver high quality work without excessive oversight.
    • Emotional Awareness & Cultural Humility – RTP employees are asked to demonstrate awareness and empathy of the way emotions and cultural perspectives show up in our work and work effectively with a diverse population of clients, partners, and volunteers.

    SKILLS REQUIRED

    • Strong communication, planning and organizational skills.
    • Comfort working in an office environment that requires regular use of e-mail, shared calendars, and shared network drives.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).

    SKILLS PREFERRED

    • Knowledge of housing programs and/or health and human services is a plus.
    • Spanish language skills are a plus.
    • Prior experience with CRM system such as Salesforce.

    SALARY/BENEFITS

    Starting salary is $42,500.

    • New hires work on-site at our office at least three days per week for the first six months. After that period, alternate remote work policies can be put in place with coordination from your supervisor. Our office is at 3001 Stokely St., Philadelphia, PA 19129
    • Unlimited paid time off (PTO) with a minimum recommendation of 15 PTO days per year. There is also PTO for 9 federal holidays, and the last Friday of every month.

    4. A final candidate will be selected following the in-person interviews and reference checks, and RTP will make a formal job offer.

    All candidates will receive notification of the status of their application at the end of the interview process. Interview questions will be provided ahead of time to ensure all candidates have time to prepare. Due to the nature of RTP’s work, which regularly requires staff to enter the homes of seniors and immunocompromised individuals, the Project Coordinator will be required to be fully vaccinated against COVID.
